The Vendor is required to provide reasonable accommodations (RA) and communication access to individuals who need communication support.
- services are requested to be rendered in person or remotely during typical employee working hours, 7:00 am to 5:00 pm, Monday through Friday (excluding holidays as defined in r.c.124.19), but there may be instances where services may be outside typical working hours.
- Department will endeavor to schedule captionist(s) at least three (3) days prior to the event.
- Department may have a need, on a rare occasion, to request a captionist with as little as twenty-four (24) hours’ notice.
- Department will provide respondent with all relevant details of the event, including but not limited to, the following: captioning type required, date, time, duration, location and nature of the event.
- Respondent agrees to respond to a request within two (2) business days, when possible.
- During that timeframe, department reserves the right to continue to seek captioning services from another respondent.
- It is the expectation that the captionist arrive fifteen (15) minutes prior to the assignment.
- This time is billable.
- If the captionist is not able to arrive fifteen (15) minutes prior to the assignment, this information shall be communicated to department prior to the day of the assignment.
- Respondent or their assigned captionist shall at no time record any captioning event.
- Remote or in-person services may be performed at the location(s) where the employee normally conducts department business.
- Respondent shall, upon request, come to other places as designated by department in order for the department employee to perform their job duties.
- The form used for tracking shall include, but not be limited to: meeting organizer, captionist name, meeting description title, service type provided (CART or captioning) and on-site or remote, meeting location, hourly bid rate and actual start and end time.
