The vendor is required to provide email encryption software solutions and services as requested by agency.
- The ability for agency to support the software application on behalf of its participants.
• Installation, implementation and verification of software system at agency and its participant school districts.
• Provision for four (4) hour maximum response time for technical system support back to agency.
• Provide full technical specifications and requirements for hosted architecture as well as any additional technical specifications required at each school district end-point in order to fully deploy system
• Solution must have the ability to be deployed as an appliance, a virtual machine, or as a hosted solution.
• Must have the ability to integrate the email encryption software with the participant school district’s existing corporate and/or web-based email system, including but not limited to, microsoft outlook, microsoft office 365, google mail, and apple.
• Must be compatible with email archiving systems.
• Solution must use industry best lexicons for the detection of protected information. 
• Solution must automatically decrypt inbound messages, such as replies. 
• Solution must ensure secure, bidirectional transparency by performing such practices as automatically encrypting reply, reply-all and forwarded messages. 
• Solution must adhere to regulatory compliance requirements. 
• Solution must have branding capabilities for messages sent via transport layer security (TLS). 
• Provide software updates, enhancements and modifications at no additional cost, with accompanying technical support when necessary. 
• In the event of a systems failure, ability for vendor to fully restore software application and all associated data files for all users within twenty-four (24) hours.
• Provide demonstration sessions in cooperation with agency to participant school districts based upon mutually agreed upon meeting dates and times.
• Provide content for print materials to be used as part of communications platform by school districts e.g., newsletters, flyers, update information, etc.
- System functions required to be provided:
• Encrypted messages are to be delivered using school district existing email addresses.
• Only the intended recipient can open the encrypted email.
• The ability to provide time-stamping with proof of delivery and receipt.
• Capability to send securely to any recipient.
• Encryption to apply to emails, attachments, and files, including those sent and received through mobile devices.
• Transparent delivery for senders and receivers.
• Reporting capabilities with a customizable dashboard.
- System requirements: agency is using ZixMail system as indicated below.
• ZixEncrypt plus - policy based email encryption with data leak prevention (DLP) for outbound email. 
• This service can be either on premise via virtual servers or hosted via Zix- includes branded ZixPort. 
• ZixProtect essentials - inbound threat protection for audio visual (AV) / spam / phishing / malware with universal resource locator (URL) redeliver. 
• This is a hosted service. 
• ZixProtect plus - inbound threat protection for AV / spam / phishing / malware with URL redeliver and sandboxing. 
• This is a hosted service.
• ZixProtect premuim - policy based email encryption with DLP for outbound email. this includes ZixProtect plus which includes inbound threat protection for AV / spam / phishing / malware with URL redeliver and sandboxing – includes branded ZixPort.
• ZixArchive essentials - hosted email retention solution for indexing and searching all email for human resource (HR) investigations, litigation holds.
