The Vendor is required to provide an IT asset management and tracking system with the below capabilities:
1. Asset management
• Both hardware and software asset management
• Comprehensive asset tracking: ability to track physical assets, including hardware, software, equipment, and other tangible items.
• Unique identification: use of barcodes, QR codes, RFID tags, or GPS for unique identification and tracking of assets.
• Detailed asset information: store detailed information for each asset, including user ownership, location, contact info, specifications of the type of hardware.
• Software, purchase details, warranties, and maintenance schedules; and maintain a history of all items.
• Tracking orders including PO information, or vendor information
• Receiving equipment
• Surplusing equipment
2. Inventory control
• Real-time updates: provide real-time discoverable updates on asset location and status to ensure accurate inventory control.
• Automated inventory updates: automatically update inventory levels and asset status through integrated systems or manual inputs.
• Provide alerts when inventory levels drop below certain criteria.
• Check-in/check-out: track asset usage and movement through check-in/check-out functionality.
• Verification of the receipt of equipment by picture.
• Verification of the receipt of equipment by signature.
• Ability to bulk update assest, users, locations, or other information as needed easily.
• Ability to scan barcodes.
• Label and tag creation.
• Ability to slot or segment bin or rack locations or other county office locations.
• Floors, buildings with scanable identifiers.
• Customizable field options to either tag device or pull various reports based on unique variables.
3. Maintenance management
• Scheduled maintenance: schedule and track regular maintenance activities to ensure asset longevity and performance.
• Maintenance history: maintain a comprehensive history of all maintenance activities, repairs, and servicing of each asset.
• Alerts and notifications: generate alerts and notifications for upcoming maintenance, warranties, and service requirements.
4. Reporting and analytics
• Customizable reports: generate customizable reports on asset usage, performance, depreciation, and lifecycle, live location of equipment, owner, warranty, cost, surplus, etc.
• Analytics tools: provide analytics tools to identify trends, optimize asset utilization, and make data-driven decisions.
• Audit trails: maintain detailed audit trails for asset transactions and changes to ensure transparency and accountability.
• Exportable to excel or csv
• Options to export data to a custom document or form for tracking, signatures, printable. Example: 1177 fillable form
• User equipment lookup option to verify returns, transfers, and active checked out device list or report
5. Integration and compatibility
• ERP and ITSM integration: seamlessly integrate with existing enterprise resource planning (ERP) systems and IT service management (ITSM) tools, (ad, SQL server, API, SCCM, absolute, lansweeper)
• API access: provide API access for custom integrations with other software and systems. (AD, SQL server, custom API, SCCM, absolute, lansweeper)
• Multi-platform access: accessible on multiple platforms, including desktop, mobile (app & browser), and web-based interfaces.
• Cloud options storage locations in the state to meet (criminal justice information systems) CJIS requirements and mandates.
6. User management
• Role-based access control: implement role-based access control to ensure that only authorized personnel can access or modify asset information.
• User permissions: define user permissions and access levels based on roles and responsibilities.
