The vendor is required to provide that language services and in-person and virtual language interpretation services.
- Translation services:
1. Service description: provide professional written translation services in any requested language for documents including, but not limited to:
• Administrative communications, reports, forms, and policy documents
• Educational materials, handbooks, and website content
• Marketing materials, flyers, and social media posts
• Legal, financial, and contractual documents
• Individual education plans (IEPS) and other special education documents
2. Methodology and technology
• Utilize industry-standard computer-aided translation (CAT) tools to maintain consistency and accuracy.
• Vendors will work with the district to maintain translation memories in order to maintain consistency across multiple requests.
• Adhere strictly to provided style guides and glossaries.
• Ensure that source documents remain unaltered, with any formatting adaptations replicating the original layout as closely as possible
3. Quality assurance
• All translations will undergo a quality review process, whether on the side of the vendor or in-house by the district.
• The event that revisions are required; corrections must be made within 24 hours at no additional cost.
• Translation memories and related resources must be maintained in a clean, updated, and secure manner, remaining the exclusive property of the district.
4. Personnel requirements
• Assign experienced translators with subject matter expertise and familiarity with educational terminology
- Interpretation services:
1. Service description: provide both consecutive and simultaneous interpretation services on an as-needed basis for various formats, including:
• In-person interpretation at school events, meetings, and conferences
• Virtual interpretation via telephone or video conferencing platforms
• Emergency or unscheduled interpretation requests with the ability to mobilize on short notice
2. Equipment and technology
• Supply any necessary interpretation equipment unless otherwise specified by the district.
• Ensure interpreters are proficient with common virtual meeting platforms and any required technical support.
• Vendors must agree to integrate with district interpretation services scheduling system, fluency, by receiving and accepting/rejecting requests
- Personnel requirements:
• Interpreters must be fluent in both english and the target language and have a working knowledge of education-specific terminology.
• Have experience with education terminology and working in school settings, and pass background checks
- Professional standards and ethics:
• Adhere to a strict code of ethics, maintaining impartiality, confidentiality, and professionalism at all times.
• Prepare adequately for assignments by reviewing pre-provided materials and arriving promptly with appropriate attire and identification.
