The vendor is required to provide a fully functional project management system that can track goals at multiple levels, linking them to projects with varying levels of complexity.
- The system will need to allow work through portfolios, teams, and other informal groups to collaborate as they assign work projects and tasks.
- Weber state organizes using portfolios to manage centralized work, but team and departmental work also needs to be tracked, so any entrance point for work should be allowed.
- The system should provide pre-made project templates with the ability to create custom templates, and view portfolios, projects and tasks in multiple ways (lists, county boards, etc.).
- The system administrative tools must be available for designated system admins (or super admins) to manage at every level.
- Super admins should be able to add, remove, and edit user- level credentials (including private teams) and approve users before the allocation of a license.
- Software should have granular controls visible to super admins with designated admin roles.
- User options should include portfolio, team, project, and user levels, as well as the option to invite external guests to follow projects/tasks without license allocation.
- The product should allow admins to pull data reports based on any project, team, or portfolio at any level of completion.
- The ability to view teams, licensed users, portfolio users, etc., and granularly run a report on any licensed user to see the teams they are assigned to is critical for tracking purposes.
- All data remains the property of the university; the platform should have communication channels (ex: mobile app, email integration) to allow information to be shared among team, project, and task collaborative members in a variety of ways.
- We need assurances that the software protects this data type and that access is secured to avoid data loss or security breaches.
- A user is deleted, reassignment of tasks or work should happen seamlessly without losing historical data if a team needs to be deleted; similarly, the completed work should remain in the historical record.
- we would like to discuss both options to maximize use across campus and ensure those interested in project tracking from end-to-end can use the product.
