The vendor is required to provide all materials, equipment, labor, and services necessary to complete the supply, integration, programming and implementation of an online community engagement platform.
- The offeror(s) is to supply, implement, and provide training for installation and operation and implementation as well as ongoing technical support.
- Provide a comprehensive testing plan to verify the system is working efficiently as well as conduct user training and documentation.
1. Project planning
• Agree on methods and approaches for delivering the project.
• Confirm the roadmap of software deployment.
• Establish a project with timelines, milestones, resources and risks consistent with implementation task required.
2. Rollout
• Perform functional, performance and user acceptance testing.
3. Training
• Support for the platform.
• Initial post go-live support.
• The selected contractors are responsible for establishing training plan and providing initial training to administrators and user of the system.
• Training will consist of a train-the-trainer approach to reduce the number of staff needing to be trained by the contractor.
4. User training planning and facilitation
• Provide resources to guide use of the tool.
• Knowledge transfer to staff who will be responsible for the ongoing management.
5. User report and visualization requirements
• Describe your tool's reporting and visualization capability.
• Provide report and visualization examples.
6. Customer support
• Ensure continued success of the engagement tool/platform through ongoing support and proactive account management.
• provide opportunities for hybrid ongoing learning opportunities.
• Provide technical support and troubleshooting.
• Provide a proposed method for ongoing monitoring and customer support. 7. Documentation
• Operator's manual with manufacturers complete operating instructions.
• All necessary system administrator level password and or required access credentials.
8. Other items
a. Provide web-based documentation for:
• Staff to configure and manage the application, user interface and generating reports.
• Users to generate report and statistics
• End- users in the general operation of the interface.
• Once the solution is accepted by city, the contractor will provide all required services to ensure adequate technical support and maintenance both during roll-out and continuing thereafter for future agreed periods as will be defined within support and maintenance agreements with city prior to contract award.
• Be designed upon an industry standard web architecture platform that can integrate with city systems.
b. Engagement solution to be technologically relevant, scalable and extensible to accommodate future solution enhancements that will be required to satisfy various city operational requirements.
