The vendor is required to provide to conduct a reserve fund study in accordance with applicable legislation and best practices.
- Preliminary information gathering
• The successful proponent shall facilitate a meeting with designated ctr staff to discuss current and historical maintenance practices, identify known deficiencies, clarify stakeholder concerns and requirements and verify financial planning practices and expectations.
- Conditional assessment and cost estimates

• Building envelope
• Mechanical systems
• Plumbing systems
• Electrical systems

• Interior finishes
- Inventory document list
• Develop an inventory document for each site (fourteen sites) with a list of HVAC assets including the tag number, model number, manufacture dates, installation date, current condition, and expected useful life.
- Financial analysis and forecasting
• Projections
• Recommended funding plans and recommendations
• Cashflow table that shows the recommended annual contributions.
• Estimates and assumptions
• Reserve fund expenditures including the components listed in section 3, as well as consulting and contingency expenditures.
• Performance indicators
• Supporting documentation.
• Assumptions used in forecasting (e.g., inflation rate, interest rate, contingency allowances).
- Reporting
• Submit a comprehensive reserve fund study report for each individual school identified in this schedule as well as a consolidated report for all schools.
• At a minimum, the report must include:
o Executive summary with details of the school including the size, address,
o Glossary of terms
o Detailed findings and methodology
o Photographic documentation
o Appendices with inspection data and component details.
o Financial information as outlined in the previous section.
