Crash Data Management Services

The Vendor is required to provide crash management include:  
• Office manager and staff of three:  
• Establish and maintain current contacts with law enforcement agencies within their assigned agency districts.  
• Distribute information.  
• Encourage timelier reporting.        
• Receive and sort mail, identify problems with reporting agencies, and work to resolve.  
• Ensure supplemental and corrected copies are loaded into the database.  
• Answer phone and email inquiries.  
• Research and provide crash reports, processing open record requests, assist district legal coordinators.
• Validate accounts for large requestors.    
• Promote agency program (fatality notification).  
• Coordinate with traffic records coordinating committee and other data user.   
• Scan images of incoming crash reports insuring legible copies for retention.  
• Coordinate with software providers
• Conduct QA/qc on crash data
• Conduct QA/qc on mapped crash locations
• Support organization safety powered by nonmetric
• Work with the sheriff’s and chief’s associations to encourage quality and timely reporting
• Support agency data needs
- FARS:  
• Staff of two analysts tasked with entering fatality data into the FARS (fatality analysis reporting system).   
• Agency is reimbursed 100% by agency for expenses incurred by the FARS unit.  
• Interpret, analyze, code and transmit data on all state fatal traffic crashes to the FARS database for the national highway traffic safety administration.  
• Update daily fatality report, which broadcasts every fatality as it enters the office and is distributed.  
• Have hardware and software, network connectivity, power supplies, backup generators, and other similar equipment and services that operate independently of the primary system;
• Have fully current backups of all crash data stored on the primary system.
