RFP Description
The Vendor is required to provide campus store point-of-sale (POS) and retail operating system suite for the university. - The new solution aims to address the challenges of maintaining the existing system while providing the necessary functionality to support the store's operations. - The new solution will streamline operations, reduce costs, and enhance overall customer experience. - Provide a comprehensive system that handles inventory management, sales processing, reporting, e-commerce, accounting, and customer service functions, all while improving efficiency. - Replace the existing university POS and retail operating system suite with a cost-effective and user-friendly solution. - Ensure the new system supports inventory management, sales processing, reporting, e-commerce, accounting, and customer service functionalities. - Improve operational efficiency, enhance customer experience, and provide comprehensive reporting tools. - Implement the system with minimal disruption to the store's day-to-day operations. - Achieve a go-live date of December 1, 2025, for the new system. - Achieve a full system deployment by the end of the current POS contract on March 25, 2026. - General System Requirements: Sales transaction processing, real-time inventory management, e-commerce integration, cloud-based system, and security compliance (PCI-DSS). - Inventory and Reporting: Real-time tracking of inventory, customizable reports, real-time data access for managers. - E-Commerce and Accounting: Integration with online store, tax calculation, multiple payment methods, and loyalty programs. - Security: User authentication, data encryption, and compliance with PCI-DSS standards. - Service calls: Must provide live support (non-automated) to reported service issues within 24 hours. - Phone support must be available Monday through Friday 7am-7pm Mountain time. - Service Representative: must provide a single point of contact within the firm for routine service-related questions and support. - Maintenance: Must provide updates to maintain secure systems and must define update schedule. - Contract Period/Term: 1 year - Questions/Inquires Deadline: May 2, 2025
