The vendor required to provide laboratory information management system (LIMS) software tracking, data entry, reporting, and quality assurance activities are performed using manual processes and basic electronic tools such as spreadsheets, paper records, and standalone instrument software.
- Train and assist the designated laboratory LIMS’ manager in setting up the following:
• Creation of sample matrices, sample analyses, preservation requirements, hold times, data entry, reporting units, reporting significant figures, MDL, MRL
• Sampling programs and projects documentation and sampling programs and projects implementation
• Creating sample location nomenclature
• Creating and developing sampling programs
• Creating sample scheduling
• Creating sample login
• Coc, sample label and bench sheet printing
• Sample documentation related to preservation, sample container, sample container tracking, sample analyses tracking, data review, data approval, reporting)
• Testing workflows
• QA/QC requirements documentation and verification (e.g., recovery and precision calculations, automated hold time exceedance evaluation and associated data flagging, LFM recovery exceedance calculation and associated data flagging, duplicate RPD exceedance calculation and associated data flagging per laboratory quality manual and sops).
• Analysts’ initial demonstration of capability (IDOC) and doc documentation and tracking
• Standards and chemical inventory
• Analytical and equipment calibration and preventive maintenance tracking
• Generate automated email alerts for non-conformance
• Configure user roles, permissions, and security settings
• Configure instrument data import for up to four instruments
- The LIMS system should, at a minimum, support:
• Sample login, tracking, chain-of-custody, sample label printing
• Providing on-demand summaries of analyses due within a specified period.
• Test assignment and workflow management
• Manual and automated data entry
• QA/QC sample management and review
• Result validation, approval, and release
• Audit trails and electronic signatures
• Standard and customizable reporting
• Data export for regulatory reporting
• Automated data exports to the city
• Field sample collection documentation, including field data (e.g., chlorine residuals).
• Transfer of field data to LIMS to facilitate login of samples (e.g., bacteriological samples collected by field staff).
