The Vendor is required to provide for a classroom automation system.
- Software and related implementation services (“system”) solution.
- The Classroom Automation System, including associated hardware and software components.
- Installation, implementation, configuration, integration, training, and change-management services are expressly excluded from scope and, if required, will be procured through a separate competitive process.
- System should be capable of installation by qualified third-party installers and should not require exclusive reliance on the System manufacturer for installation services.

- The objective is to implement an integrated, reliable, and easy to use system that enhances instructional delivery, supports inclusive and engaging learning experiences, improves classroom communication, and reinforces a safe and well managed teaching environment.
- The solution must enable teaching efficiency, reduce cognitive load for educators, and support consistent classroom operations across elementary and secondary schools.
- The classroom automation system is to deliver inclusive, intelligent audio and communication capabilities that enhance teaching effectiveness while safeguarding student privacy.
- The solution must support voice amplification, lesson capture and recording, and compatibility with assistive listening technologies to accommodate diverse learning needs.
- All lesson capture and recording functions must incorporate strong privacy and data protection controls, including video editing, secure storage, access controls, and compliance with applicable privacy legislation and board policies.
- The system must further enable asynchronous learning through secure lesson storage, support real time translation capabilities where available, and integrate seamlessly with existing classroom displays and monitoring systems without exposing personal or sensitive student information.
- Solution must align with and demonstrably comply with applicable state privacy, security, and data protection standards, incorporating appropriate technical, administrative, and governance controls to protect personal information and support regulatory compliance.
- Replacement of, integration with, or operation as a functional substitute for Board public address (PA) systems.
- Bell scheduling, school or system clocks, master clock systems, or time synchronization services; and
- Any functionality intended to perform life safety, emergency notification, or facility wide communications roles.
- Documented system performance under normal operating conditions and, where applicable, during network degradation or outage scenarios.
- Usability and Adoption
• Evidence of acceptable usability based on structured feedback from participating teachers and designated school staff.
• Demonstrated ability for end users to operate the solution with minimal training and without undue operational or cognitive burden.
• Confirmation that routine classroom activities can be completed independently, without ongoing technical support intervention.
- Identify single points of failure, such as individual devices, classroom hubs, wireless controllers, or reliance on cloud services, and specify which functions are impacted when Wi-Fi performance is diminished, internet connectivity is lost, or cloud services become unavailable.
- A high level architecture describing the hardware, software, and cloud/service components of the solution. The architecture must explicitly distinguish wireless components from wired components. Solutions that prioritize wireless connectivity and operation—thereby reducing reliance on fixed wiring, in wall cabling, or permanent physical mounting—will be evaluated more favourably.
- Speech intelligibility features using wireless microphones and controls, without reliance on ceiling mounted microphone arrays or permanently wired teacher stations.
- Lesson capture workflow, video editing (student privacy) and storage/retention controls.
- captioning/translation capabilities (including any constraints, licensing, and configuration).
- Connectivity to assistive listening devices and inclusive classroom use cases.
- Solution, such as user guides, videos, administrative or technical documentation, and quick reference materials.
