The Vendor is required to provide for the potential implementation of a new constituent relationship management (CRM) system.
- The Client intends to take on as much of the hands on configuration, build, testing, and validation work as feasible throughout the company slate for advancement implementation. As such, the Proponent’s role may shift from full execution to a guidance and advisory focused model, depending on the Client’s internal capacity and readiness at each phase of the project.
- Vice President, who collectively lead efforts to engage alumni and donors, enhance the agency brand, and support the university’s philanthropic goals.
• Alumni affairs is responsible for fostering lifelong relationships with agency alumni, managing alumni programming, events, volunteer engagement, and supporting affinity connections to the university.
• Marketing and communications supports advancement through the development and execution of strategic messaging, branding, digital communications, publications, and storytelling that strengthens agency institutional image and alumni/donor engagement.
• Development leads all fundraising efforts, including annual giving, major and planned gifts, donor relations, and campaign management. It is accountable for identifying, cultivating, soliciting, and stewarding philanthropic contributions in support of university priorities.
• Advancement services/records is responsible for managing constituent data, gift processing, records integrity, prospect research, and providing administrative and reporting support to the other units.
- Discovery & Process Design – confirm scope including a review current state processes and data, define future state workflows, field model, permissions, reporting needs, and integration requirements; produce a detailed Implementation Plan.
- Data Migration – including planning and extraction, cleansing/deduplication, mapping, transformation, test loads, and final cutover loads; define historical data strategy and reconciliation approach.
- Approximately 60,000 constituents; annual email campaigns, events, and online donations typical of a small university Advancement operation.
- The Client’s existing iModules contract expires in March 2027; therefore, the implementation of the iModules replacement within Slate must be prioritized and sequenced to ensure full deployment and transition prior to this contract end date.
- Project Management & Governance – including dedicated PM, schedule, risk/issue log, status reporting, steering updates, and change control.
- Documentation – including configuration documentation, integration specifications, data dictionary, SOPs/runbooks, and post go live support model.
