The Vendor is required to provide inventory management system solution must be hosted and implemented by august 31, 2026.
- General
• Provide all training and documentation services required to enable the province, primary care state and other authorized users to effectively implement, operate, and maintain the vaccine inventory management solution (VIMS).
- Project planning and setup
• Provide a preliminary project plan within five (5) business days following contract execution.
• Update the project plan on a weekly basis and clearly identify met and unmet milestones.
• The project plan shall include, at minimum:
o A detailed test plan to ensure the solution meets the validated set of functional requirements;
o Descriptions of roles and responsibilities, test data, performance testing, and procedures for department and care to access the test environment; and
o Set-up of testing, training and production instances of the VIMS.
o Identification of all project dependencies, assumptions, and risks, along with corresponding mitigation strategies; and
o A plan defining how the environments, releases, and changes will be managed throughout the project lifecycle.
- Initiation activities
• Facilitate introductory meetings with the province’s project team members, stakeholders, and the contractor’s team to review roles, responsibilities, and communication protocols
• Present the detailed project plan, including key milestones, dependencies, deliverables, and timelines.
• Provide a comprehensive change management plan that includes stakeholder engagement, communications, readiness assessment, and adoption strategies to support the project rollout and transition.
• Project approach presentation
• Determine a rollout strategy for each proposed service
- Configuration, setup, and migration
• Perform all necessary configuration and set-up activities to meet state business processes and VIMS requirements.
• Develop and execute database conversion and migration scripts to facilitate data transfer from the existing system to the new solution
- Implementation and transition support
• Provide ongoing application maintenance and support during implementation and transition activities, including:
o Acceptance testing;
o Migration of changes between all environments; and
o User interface development, testing, and implementation; and
o Service desk services for users.
• Provide comprehensive implementation support services for the VIMS including, but not limited to, the following:
o Project management;
o Implementation planning;
o Network capacity requirements, minimum client hardware requirements, client hardware configuration;
o Installation, configuration and testing of VIMS; and
o Production rollout and ongoing support.
- Application maintenance and support
• Maintaining compatibility of the solution with all future software releases;
• Ensuring the solution remains renewable for as long as the software is commercially available and the proponent or manufacturer is providing maintenance and support; and
• Providing software upgrades, updates, bug fixes, and new versions as they become available.
