The vendor is required to provide automation, systems integration, and innovation consulting services under this contract may include, but are not limited to, the following service areas across the business office, technology, marketing and communications, and innovative practices functions of the district:
1. Discovery and assessment
• Audit of existing workflows, systems, and business processes; stakeholder interviews; identification of inefficiencies, redundancies, and automation candidates; baseline measurement to support later return-on-investment reporting.
2. Automation and artificial intelligence integration
• Design and implementation of workflow automation, robotic process automation (RPA), and artificial intelligence solutions, including generative AI, classification, routing, and summarization tools, integrated into existing district systems and business processes where appropriate.
• Includes pilot design, guardrails, evaluation, and iterative refinement.
3. Systems integration and interoperability
• Technical and functional integration of district enterprise platforms, including but not limited to Smartsites, Efinance, Eduphoria, Omnitrack, and other district systems, to reduce manual data entry, eliminate redundant processes, and enable end-to-end workflows across departments.
4. Systems re-engineering or replacement support
• Existing systems cannot meet district needs, support the evaluation, selection, and transition to replacement platforms, including requirements gathering, vendor evaluation support, data migration planning, and transition management.
5. Workflow and process re-engineering
• Business process mapping, redesign, and standardization; development of standard operating procedures; identification and elimination of non-value-added steps prior to or as part of automation initiatives.
6. Data quality, reporting, and dashboards
• Data cleanup and governance; design and implementation of leadership and operational reporting, dashboards, and analytics to support district decision-making.
7. Innovative practices
• Support for district innovation initiatives broadly defined, including but not limited to instructional and operational pilots, community and family engagement technologies, staff professional learning delivery, and strategic planning support.
8. Marketing and communications automation
• Automation and integration of district marketing, communications, and community engagement workflows and platforms.
