The Vendor is required to provide med school scheduling software to procure and implement a unified, enterprise-grade scheduling ecosystem that integrates core booking software, digital signage, and IOT occupancy sensors.
- Solution must provide a secure source of truth for room availability that adheres to information assurance (IA) mandates while automating space reclamation and providing real-time utilization analytics to support accreditation.
- Requirement:
• Ready-to-operate implementation of the scheduling platform across all designated medical school and NCRC facilities.
• Responsible for the configuration of the atomic locking data mechanism to ensure zero booking conflicts without reliance on external calendar synchronization.
• Full migration of all legacy event data from the existing EMS system must be completed with 100% data integrity.
• Provide and install integrated digital signage at all core classroom entrances, capable of displaying real-time status updates from the central database.
• Deploy and calibrate occupancy sensors in all designated study and instructional spaces to enable automated ""no-show"" booking cancellation (reclamation) after a specified time period of inactivity determined by administrators.
• Solution must integrate via API with m-pathways for curricular batch scheduling and automated conflict resolution.
• Support level-2 (LDAP) authentication for all internal users.
• Comprehensive administrator training (minimum 10 hours) for the 1.0 FTE system administrator and backup staff.
• The supplier shall provide ""train-the-trainer"" sessions and digital user guides for departmental room coordinators.
• Provide 24/7 technical support with a guaranteed 1-hour response time for priority 1 (system
• Include all software upgrades, security patches, and hardware firmware updates within the annual maintenance agreement.
• Automated reporting suite equivalent to x25/tableau functionality, specifically tracking seat utilization and fill rates to meet LCME accreditation standards.
