The Vendor is required to provide risk management information system (RMIS) should tracking and reporting of incidents, claims, assets, policies, and insurance certificates.

• Auto liability / physical damage: 85 occurrences – 35 claims
• Property loss – 20 claims
• General liability – 14 claims
• Law enforcement liability – 7 claims
• Public official liability – no claims in past 5 years
• Insured buildings & contents: 275
• Fleet assets: 475
• Mobile equipment: 450 tracked units, 40 w/ insurance coverage
• Certificate of insurance vendors: 200
• Email: Microsoft exchange server – on premise
• Personnel management & payroll system: Tyler technologies new world ERP
• Document management system: Hyland on-base
• Fleet asset management: asset-works fleet-focus
• Third party administrators: property & casualty workers’ comp
• Historical data: the city doesn’t currently plan to convert any existing data.
• System interfaces: the city prefers to complete .csv data imports (self-loading options) of assets and personnel to reduce real-time integration costs.
• There would be a need to accept data from our TPA(s).
• Reporting: the city currently has extensive analysis and reporting capabilities. Data fields and custom reporting should be expected.
• Some of the data being manually reported now includes:
• Preventable & non-preventable loss time injury (for entire city or by department)
• Reportable injury frequency rates (for entire city or by department - utilizing hours worked from
• New world ERP payroll system)
• Vehicle collision rates (utilizing mileage data from asset works fleet software)
• Total # of occurrences & claims w/in each line of coverage
• Claim cost (paid, reserve, collected, incurred)
• Claim cost by year, (able to sort by loss range and adjusted for inflation)
• Average claim costs (for various time periods)
• Total insurance premium & claim cost by coverage type
• Total insurance premium & claim cost (all coverage combined)
• Total cost of risk (TCOR) calculations, including:
• Claims, premiums, training cost, RMIS, personnel, etc.
• Claim forecast & future claim retention needs modeling.
