Volunteer management platform that can connect residents with volunteer opportunities offered by community organizations and other entities.
- Solutions that support a community-wide network in which participating organizations can maintain their own opportunities while the County provides infrastructure support and residents can easily discover and engage with opportunities.
- Purpose is to:
• Identify vendors offering platforms that support volunteer opportunity discovery and participation across a network of community organizations and entities.
• Understand approaches for allowing external organizations to create and manage their own volunteer opportunities with County infrastructure support.
• Evaluate participant-facing search, registration, communication, accessibility, and support capabilities.
• Assess reporting, data portability, security, scalability, and interoperability capabilities.
• Gather information about implementation models, ongoing administration, support, and total cost of ownership.
- Solution that, at a minimum, provides the following capabilities:
1. Community Organization and Opportunity Management – Support a network of independent community organizations that can maintain their own organization information and volunteer opportunities, with county support.
2. Accessible Opportunity Discovery – Provide an intuitive, multilingual, and accessible participant-facing experience for searching, filtering, and identifying relevant volunteer opportunities.
3. Registration and Communications – Support participant registration and provide communication capabilities such as automated confirmations, reminders, and status updates to volunteers (e.g., via email and/or SMS)
4. Reporting and Infrastructure Support – Provide reporting and data export capabilities, including examples of standard reports (e.g., volunteer hours, participation trends, opportunity fill rates) available at both the organization and County level.
5. Security, Administration, and Interoperability – Support role-based access controls that separate County administrative functions from organization-level administrative functions. Describe data security safeguards (e.g., encryption, access logging, relevant compliance certifications). Describe available integrations, APIs, and single sign-on options.
6. Scalability and Support – Support a multi-organization, countywide program and growth in participation over time. The County envisions a single shared platform instance with organization-level permissions.
