Workday Application Management Services Support

Workday Application Management Services to deploying Workday across Human Capital Management (“HCM”), Payroll, Financials, and Adaptive Planning, replacing PeopleSoft and other legacy systems
- Application Configuration and Functional Support
• Provide ongoing configuration, break-fix, and functional support across all Workday product areas in scope (Section 1.3), including Core HCM, Compensation, Onboarding, Help, Journeys, Talent
Management, Recruiting, Benefits (including Open Enrollment), Absence/Leave Management, Time Tracking, Scheduling, Payroll, Adaptive Planning, Evisort, and the Financials suite.
• Diagnose, troubleshoot, and help resolve defects, business process configuration issues, and calculated-field or condition-rule errors, prioritized per the service levels in Section 6.7.
• Provide advisory and troubleshooting support for monthly payroll processing cycles, including pre- and post-payroll validation support during the payroll close calendar. Support Open Enrollment and other seasonal or cyclical HR and Finance events with elevated availability as mutually scheduled in advance.
• Support unit, functional, and User Acceptance Testing (“UAT”) for any configuration changes and help with any test script maintenance.
- Security Administration
• Administer Workday security groups, domain and business process security policies, and user/rolebased access assignments across all in-scope functional areas.
• Support periodic access reviews and segregation-of-duties analysis, including remediation recommendations.
• Maintain security configuration documentation and change history.
- Reporting, Analytics and Prism
• Build, modify, and troubleshoot custom reports, Workday BIRT, calculated fields, and dashboards across all in-scope functional areas.
• Support the maintenance and enhancements of Prism Analytics, used primarily for reporting against legacy ERP datasets, including data models, pipelines, and report development.
• Support standard and ad hoc reporting requests from District HR, Payroll, Finance, and Budget staff
- Integrations Management
• Monitor, maintain, break-fix, troubleshoot, and enhance the District’s Workday integration landscape, currently estimated at approximately one hundred (100) integrations, including inbound, outbound, and bidirectional interfaces with third-party and District systems.
• Provide subject matter expertise in Enterprise Interface Builder (“EIB”) management, Studio integrations, Core Connectors (Benefits, Payroll, Financial), Orchestrate, and API integrations.
• Triage integration failures, including root-cause analysis distinguishing Workday-side, source/targetsystem, and network or file-transfer causes, and coordinate remediation with the District and thirdparty system owners.
• Maintain integration documentation, including data mapping and error-handling logic, and support integration testing during Workday releases and District system changes.
- Release Management
• Review and assess each Workday semi-annual release, and any interim service updates, for impact across all in-scope functional areas and integrations. Provide recommendations on which features to
adopt based on business priorities and help support the deployment of any necessary configuration.
• Perform release regression testing planning and support, document impacts, and provide recommendations on feature adoption.
• Coordinate release testing windows with the District’s testing calendar and provide a release readiness summary before each release date.
