The vendor required to provide translation, editing and proofreading services will include French to english and english to French translation that comply with agency linguistic and formatting standards.

1. Translation
• Processing all documents for translation at a per-word pricing (as indicated in annex b – basis of payment) based on the number of words in the original text to be translated including tables, icons, graphics and illustrations where applicable;
• Conducting terminology research when required;
• Ensuring that all translations are reviewed for quality and accuracy, before being deemed as complete;
• Ensuring the consistency of large documents by limiting, to the greatest extent possible, the number of different resources working on the same requirement and providing an overall review of the complete document to ensure a consistent level of quality; ensuring that the meaning of the translated version conforms to that of the original in all aspects, including proper terminology.
• If the offeror is unsure of terminology or abbreviations, the offeror must contact the project authority indicated in the call-up to clarify;
• Providing a quality control system as indicated to meet the requirements indicated herein;
• Accounting for a style and level of language that is consistent with the nature and end use of the document based on broader context, target audience, tone, style and terminology of the original material; and
• Consulting reference materials provided by agency when available and any other relevant reference materials available from other reputable sources.
2. Editing and proofreading
• Ensuring that the meaning of the translated version conforms to that of the original in all aspects, including proper terminology;
• Providing an approach to quality assurance as indicated in meeting the requirements indicated in the quality assurance
• Editing using a style and level of language that is consistent with the nature and end use of the document, broader context, target audience, tone, style and terminology;
• Ensuring standardization and consistency with terminology by assigning, whenever possible, the same service provider to the proofreading of the paper;
• Consulting reference materials provided by agency when available and any other relevant reference materials available from other sources.
3. Work allocation
• The estimated volume of work will be divided between the categories of services and document sizes.
