The Vendor is required to provide in-person and/or virtual interpretation services to facilitate effective communication in real-time situations, such as community events, public open houses, or open meetings.
- Aims to:
• Provide transportation services of consistent quality to all individuals
• Address the societal impacts of its programs on diverse populations
• Encourage full and equitable participation in transportation decision-making
• Offer meaningful access to district programs and services for those who speak languages other than English
- Receiving documents, the firm will furnish a detailed quote that includes a breakdown by languages, total work hours, cost per hour, and the overall dollar amount for the translations.
- Desired turnaround times are as follows:
• 500 words or less: Within 2 business days
• 501 to 1,000 words: 3 to 4 business days
• 1,001 to 5,000 words: 5 to 6 business days
• 5,001 to 10,000 words: 8 to 10 business days
- The firm must be capable of working with a variety of file formats, including but not limited to Microsoft Word, Excel, and PowerPoint; Adobe InDesign, Illustrator, and PDF; and other common design or image file types.
- Translated materials must retain the layout, formatting, and design integrity of the original source file, including headings, tables, charts, and visual hierarchy. Firms are expected to ensure that translated content fits appropriately within design templates without truncation or layout distortion.
- Conducting document translation and interpretation in various languages, including but not limited to district 19 safe harbor languages (Spanish, Vietnamese, Chinese, Amharic, Arabic, Burmese, Farsi, French, German, Hindi, Japanese, Karen, Korean, Nepali, Russian, Somali, Swahili, Tagalog, and Tigrinya).
- Firm must be able to conduct both consecutive and simultaneous interpretation; the firm must provide the necessary equipment for simultaneous interpretation.
- Most interpretation services will occur upon request from community, at a current rate of approximately 10-15 interpretation events annually.
- Interpretation needs typically arise in batches (e.g., if a series of public meetings occur within a few weeks of each other).
