Website Redesign Services

The vendor is required to provide website design firm shall work through the planning / design process to provide desired website modules and functionality to meet the needs of the city’s residents.
- The website design firm shall provide a preliminary cost estimate based on the modules, graphics and content desired by the city.
- Design and implementation phase services
• Project control: monitor the work and coordinate the activities and responsibilities outlined by the owner to complete the project in accordance with the owner’s objective of cost, quality and completion time frame.
• Schedule and conduct bi-weekly progress meetings at which time the owner and website design firm project manager can discuss jointly such matters as procedures, progress, challenges, and scheduling; maintain and distribute minutes of all such meetings.
• Provide regular monitoring of the schedule as design progresses; identify potential variance between schedules and probable completion dates, taking action to maintain compliance with targeted date; provide summary reports of each meeting and document all changes in schedule.
• Billings: provide copies of all backup for monthly project billings.
• Reports and project site documents: record the progress of the project; submit biweekly written progress reports to the owner, including information of the specific design, and the percentage of completion; record all information on the project set-up and operation to be provided to the city at the end of the project.
• Substantial completion: determination of substantial completion of the work, or designated portions thereof, and prepare for the owner a list of incomplete or unsatisfactory items and a schedule for their completion.
• Start-up: with the owners personnel, direct the checkout of website module systems and assist in their initial start-up and testing of the website.
• Final completion: assist the owner to determine final completion and provide written notice to the owner that the work is ready for final inspection and operation; turn over to the owner all manuals / instructions, records, and maintenance requirements.
• Warranty period: during the warranty period, website design firm shall maintain a log of all warrantee calls and actions taken; once a warrantee issue is identified, the website design firm shall oversee implementations of corrective action; the website design firm is to copy owner on all correspondence.
