The vendor is required to provide website that requires ongoing maintenance of maintaining and supporting the existing festival website while also demonstrating the necessary creative and technical ability throughout the contract term, as the vendor may be tasked with implementing branding and layout updates, as directed by OSE, to ensure alignment with the website objectives outlined below.
• Provide comprehensive festival information.
• Present key details about the city festival and its offerings through clear text and engaging visual content.
• Clearly communicate the talent lineup and schedule.
• Display the artist lineup, performance schedule, locations, and key announcements.
• Showcase headlining artists and their notable works to generate excitement.
• Feature ancillary events and community programming.
• Highlight related events such as the city piano competition, jazz jam, jazz clinic, and other community-based or pre-festival activities.
• Promote and manage premium experience packages and paid offerings.
• Support the sale of premium experience packages and other ticketed add-ons, while clearly stating that general admission to the festival is free.
• Provide attendee resources.
• Include a comprehensive and key contact information to assist attendees with common questions and logistical details.
• Support vendor and exhibitor participation.
• Offer information and application access for food vendors, merchandise vendors, and exhibitors Participating in the festival.
• Promote sponsorship opportunities.
• Communicate sponsorship tiers, benefits, deadlines, and contact information to support partnership development.
• Foster community engagement and interaction.
• Encourage social media engagement via integrated feeds, hashtag usage, and interactive content in the lead-up to and during the festival.
• Communicate real-time updates.
• Allow for the timely posting of urgent news, weather alerts, schedule changes, or other updates before and during the event.
• Ensure accessibility and mobile responsiveness.
• Deliver a website that is ADA-compliant, mobile-friendly, and accessible across all devices to provide an inclusive user experience.
• Enable performance tracking and data collection.
• Utilize analytics tools to monitor site traffic, user behavior, and engagement, helping to inform marketing efforts and future improvements.
• Provide media and press resources.
• Maintain a section with downloadable press kits, logos, approved imagery, and contact information for media inquiries.
• Support multi-phase event planning.
• Allow for year-round content updates including early announcements, phased rollouts, and post-event recaps to keep the site relevant and up to date.

• The website must remain built on a user-friendly CMS platform (currently WordPress) that has the ability to be updated by OSE staff at any time
• Navigation must be intuitive and easy to use
• Website must be optimized for mobile and tablets
• Clean, modern and focused design to drive goals set by OSE
• Optimized with advanced SEO using best practices within the industry.
• Social media integration from Facebook, x (twitter) and Instagram
• Embedded email update sign-up form using mail-chimp
o Page graphics (supplier will be provided with images and video footage from previous year(s))
• The supplier must have ability to create homepage video that is no less than 20 seconds in length
• Ability for separate login usernames for staff members to make updates or create news/blog posts as needed
• Real-time status update scroll bar at top of website which can be turned on or off.
• Supplier must build the website to meet and comply with all ADA website standards
• Website must be integrated with google analytics.
• Embedded video streaming capabilities - through a third party.
