- Requirement:
1. Monthly retainer and ongoing support
• Provide a monthly retainer to cover routine website maintenance, troubleshooting, updates, and technical support as issues arise.
• Ensure timely response and resolution of website-related issues, including broken links, security alerts, content errors, and performance disruptions.
• Offer defined service-level expectations for response times, escalation procedures, and after-hours availability for urgent needs.
2. Content management system (CMS) management and optimization
• Maintain and support a modern, secure, stable, and user-friendly content management system that is easy for authority staff to update.
• Recommend CMS improvements that enhance usability, efficiency, and site organization.
• Ensure the CMS is compatible with required third-party integrations, high-traffic usage, multimedia content, and ADA compliance standards.
3. Staff training and support for webpage content management
• Provide initial and ongoing training to authority staff responsible for updating departmental pages, including communications, public safety, operations, human resources, and other divisions.
• Create clear documentation, tutorials, or training materials for staff reference.
• Offer refresher trainings as CMS updates or new features are introduced.
4. Performance monitoring, reporting and technical maintenance
• Conduct monthly performance checks on website speed, uptime, navigation flow, security alerts, SEO performance, and overall functionality.
• Provide a monthly report summarizing:
o Website analytics and usage trends
o User behavior insights
o Accessibility status
o Security patches applied
o Recommended updates or enhancements
• Perform ongoing technical maintenance, including plug-in updates, code improvements, and compatibility testing.
5. Third-party vendor and integration management
• Oversee and coordinate third-party services that are integral to authority websites, including but not limited to:
o Language translation services
o Mapping and indoor navigation tool
o Parking system
o Accessibility tools and compliance technologies
o External data feeds (flight information, roadway conditions, etc.)
• Ensure seamless integration, functionality, and timely updates across all platforms.
• Manage vendor communications, troubleshooting, and contract-defined technical responsibilities.
• Coordinate and manage risk assessments of third parties including, but not limited to vendors and plugins
6. Website enhancements, new features and continuous improvement
• Recommend and implement enhancements that support authority strategic goals, customer experience priorities, and emerging digital trends.
• Assist with planned redesigns, new webpages, microsites, landing pages, or structural improvements.
• Provide guidance on best practices for user experience (UX), mobile optimization, and content strategy.
• Maintain industry-standard website security measures, including but not limited malware protection, https encryption, vulnerability monitoring and remediation and denial of service protection
• Implement highly available dedicated server
• Provide immediate support in the event of cyber incidents or threats.
• Ensure compliance with public-sector regulations and authority policies related to privacy, accessibility, and transparency.
7. Hosting support (if applicable)
• Provide high-availability hosting infrastructure with redundancy and uptime guarantees.
• Ensure scalable capacity suitable for heavy traffic during peak travel periods or crisis situations.
• Maintain data backups and disaster recovery procedures.
8. Project management and collaboration
• Assign a dedicated account manager and technical team to support authority day-to-day and strategic needs.
• Participate in regular planning meetings, check-ins, and collaborative sessions with authority staff.
• Provide clear communication protocols, project timelines, and quality assurance processes.
9. Documentation, governance and change management
• Maintain updated technical documentation, including site architecture, integrations, workflows, and key processes.
• Provide version control, audit trails, and change logs for all updates and releases.
• Follow authority approval processes before implementing content or system changes.
