The vendor is required to provide a comprehensive communications audit is necessary to evaluate the effectiveness of our current communications, marketing and public relations strategies to assess how well they support the district’s strategic plan and to identify the areas where improvement is needed.
- The communications audit will:
• Assess the effectiveness of district communications
• Evaluate the clarity, reach and impact of communication with key stakeholders.
• Identify gaps and opportunities to improve internal and external communications.
• Provide a roadmap for strategic communication planning
• Provide research-based data to use in the development of a comprehensive strategic communications plan that supports the district’s strategic plan
• Make recommendations to enhance the district’s communication efforts with a focus on improving communication in order to increase engagement. - The audit must include:
• Digital tools: analyze usability, accessibility, design consistency, and engagement performance for:
• District and school websites
• Parent square communications
• Social media platforms (Facebook, Instagram, x/twitter, YouTube, etc.)
• printed materials: review up to 10 key print publications (e.g., newsletters, brochures, handbooks, posters, flyers) for tone, clarity, alignment to brand guidelines, etc.
• Video content: review 5–10 district-produced videos for clarity, audience relevance, and message consistency. - Conduct a comprehensive review of the district’s communications across all internal and external platforms.
- Branding & public image review
• Assess district public perception and brand consistency across channels.
• Review adherence to district brand guidelines (logo usage, tone, visual identity)
• Analyze local and regional media coverage (past 12 months) for tone and sentiment
• Conduct a brief environmental scan of social media mentions and publicly available reviews or commentary
- Comprehensive communications audit report
• Results of the evaluation of the communication methods and platforms
• Analysis of stakeholder feedback
• Compare district communication performance and strategies to national k–12 education communications best practices and similar-size districts.
- Strategic communications framework
• A plan for using the data presented in the audit report to develop a strategic communications plan
• Metrics for evaluating communication impact and engagement levels.
• Methods for using metrics to update the communications plan annually
- Presentation of findings & recommendations
• A written report that includes audit results and recommendations.
• A presentation to highlight audit results and recommendations.
