The Vendor is required to provide legal publication services for include:
- Functional requirements
• Printing and publishing of all public legal notices and advertising requiring publication including but not limited to items such as election proclamations; legal notices regarding statutory matters of the board of supervisors; resolutions; summons; notices of sale; delinquent tax lists; special notices; call for bids; bids for construction and equipment; and the publishing of all matters as required to be published by the board of supervisors, other county elected officers, and county departments in a newspaper under the law of the state provided to vendor for such printing and publishing.
- Technical requirements
• The size of type shall be not less than five (5) or more than six (6) point type, set solid (no leading).
• This is to apply whether letterpress, offset, computer tape or disc format is used.
• The variance in type size shall not be greater than five percent (5%) over or under the specified size range unless required by statute.
• Continuous wrap for text must be applied in all publications and advertising matters, unless otherwise specified.
• Copy for legal publication and advertising will be furnished to the vendor electronically in either word document format or pdf format.
• The exception to this format is delinquent tax files which may be sent as one or more tab delimited text files via file transfer protocol (“ftp”).
• Proper formatting of computer media shall be the responsibility of vendor and vendor shall bear any such costs associated with the formatting of computer media.
• Most county departments are standardized on Microsoft office and IBM-compatible computers.
• Furnish to the submitting county department, without additional cost, an affidavit of publication, within ten (10) days of publication, for each legal notice and advertisement published.
• Republish incomplete or incorrect notices resulting from vendor’s error(s), in their entirety, in the next publication at no charge to the county.
• Proof copy or copies of the foregoing shall be provided to the county.
• Responsible for the cost(s) of any notices or advertising that is published late or after the requested publication deadline when the request for publication was transmitted by the county to the vendor prior to the specified deadline.
