The vendor is required to provide statewide outreach center (SOC) outreach communication and marketing support contractor will provide comprehensive support in content creation, social media management, email newsletters, marketing campaigns, analytics, and reporting, as well as outreach and professional development support.
- Communication and marketing support:
• Newsletter subscription: subscribe to relevant newsletters from other organizations to stay informed of industry trends and best practices.
- Graphic and multimedia creation:
• Collaborate with the SOC team to create engaging and visually compelling graphics, infographics, and multimedia assets for various platforms and purposes.
• Proofread and edit content for clarity, accuracy, and brand alignment.
• Gather feedback from SOC team on creative assets before final publication.
- Content creation and management.
• Content development:
o Collaborate with the SOC team to create compelling written materials (social media posts, etc.), graphics, videos, and other multimedia content.
o Ensure all content is accurate, up-to-date, and consistent with the center's branding guidelines.
o Prioritize content that engages stakeholders effectively.
• Proofreading and feedback:
o Proofread all created content for grammar, spelling, and clarity.
o Obtain feedback on content from appropriate SOC team members before final publication.
- Social media management:
• Social media calendar:
o Develop and manage the SOC social media content calendar, incorporating feedback from assigned SOC staff.
o Ensure all scheduled posts align with marketing campaigns, upcoming events, and key messages.
• Social media content creation:
o Create and schedule posts for SOC social media platforms, ensuring they are relevant, engaging, and aligned with the center’s voice.
o SOC for feedback before publishing.
• Daily social media tasks:
o Dedicate 10-15 minutes daily to research relevant content from other Facebook pages, groups, websites, etc.
- Email newsletters:
• Monthly newsletter creation:
o Develop and compile content for the center’s monthly email newsletters.
o Obtain feedback from the SOC information and resource specialist for design and content, and assigned SOC staff for grammar review.
o Submit newsletter draft to the director of SOC for final approval before distribution.
• Accuracy and consistency:
o Ensure all content in the newsletter is accurate, up-to-date, and consistent with the center’s brand.
- Marketing campaigns:
• Marketing campaign development:
o Work with the SOC team to initiate and develop marketing campaigns for promoting the center’s programs, events, and services.
o Collaborate with the team to determine marketing priorities, timelines, and resources needed.
• Marketing plan creation:
o Modify or create new marketing plans tailored to the center's evolving needs and structure.
o Develop marketing drafts, including themes and design kits, timelines, and tasks.
• Marketing materials production:
o Create marketing materials such as brochures, flyers, posters, and digital advertisements.
o Ensure the quality and consistency of all marketing collateral.
- Analytics and reporting:
• Social media analytics:
o Quarterly review social media performance and engagement metrics.
o Provide actionable feedback and insights to SOC team on improving stakeholder engagement.
o Develop and execute plans to implement agreed-upon marketing improvements.
• Reporting for outreach:
o Monitor online interactions (comments, questions, etc.) and report monthly updates to SOC team.
o Track and report social media and web metrics at the end of each fiscal year.
- Outreach measures:
• Report online interactions to outreach manager (OM).
• Submit monthly reports detailing online engagement.
• Update and enter fiscal end-of-year (EOY) social media and web metrics.
- Professional development:
• Complete google analytics training prior to beginning services, to better assess and interpret website and campaign performance
• Complete social media metrics training to enhance reporting and engagement strategies.
- Website content and updates:
• Provide guidance on website resources, ensuring that content remains relevant and accessible.
• Assist with content updates, responsive design, and future planning for the website.
