The Vendor is required to provide concert booking, production and ticketing services for include:
- Booking and entertainment
1. Entertainment acquisition
• Organization would book touring acts with national name recognition and how you would maximize annual commercial entertainment opportunities from June 1 – September 30.
• The city requires a minimum of eight (8) shows per year.
2. Integration with community event calendar
• Pig out in the park – a six-day festival over Labor Day weekend featuring live music, food, and market vendors (e.g., arts and crafts).
• 4th of July – a one-day, city-produced celebration with local music, food vendors, fireworks, and a patriotic ceremony.
• Hoop fest – a four-day event on the last weekend of June, featuring 3-on-3 basketball tournaments, food and beverage vendors, and sports-related activities.
• Pride – a two-day national celebration, typically held the second weekend in June.
• Floating dates – two flexible blackout dates designated to support visit city convention activities.
3. Private events
• Regularly hosts private events that feature touring performers.
• Event organizers frequently request the ability to book their own talent directly, as using a third-party or exclusive booking provider can lead to increased costs.
• The city aims to support this flexibility and allow a non-exclusive option for artist procurement for private, non-ticketed events.
- Production and event management
1. Stage management
• The city owns a 320 mobile stage, which is available for use during the seasonal concert series.
• To ensure safe and proper operation, the city requires that a city -certified stagehand be present to manage stage deployment and serve as the stage manager when the stage is in use.
• The city currently contracts with a commercial trucking company to transport the stage to and from its designated location.
• Approach to stage management, including the process for load-in and load-out, as well as how you would coordinate and schedule all necessary service providers.
2. Event production
• Proposed process for managing event production and oversight.
• Our response should address key areas including day-of-event operations, procurement and coordination of sound and lighting vendors, and management of stagehands.
• Any anticipated support needs from the city, and specify any city-provided resources or assistance required to successfully implement your plan.

1. Marketing strategies
• Provide an overview of any marketing and promotional strategies (direct, digital and social) that would be implemented to advertise the pavilion season concert series to appropriate target audiences.

2. Promoter and venue needs
• Facilitate easy ticket management, including purchase, transfer, exchange and resale.
• Allow discounts, group rates.
• Ability to track and issuance of miscellaneous items such as parking passes, and special promotions.
• Maintain a record of any complimentary tickets and promotional discounts issued to customers
• Physically supplied (such as hardware and ticket stock)
• What services are provided (phone, internet, customer service)
• Ticket resale services
• Cancelled or postponed shows are handled
• Access management and ticket scanning
• Ability to report on geographic assets for marketing purposes, specifically the ability to categorize based
• The existence and creation of interactive seat maps for customers, including the time for them to be created for events
• Mobile ticketing solution
• Platform allows for use of current and future technologies including integration with third party providers (e.g. Google wallet, apple pay, etc.)
• Comply with best practice and requirements of venue, city, state and federal accessibility initiatives, regulations and laws including, but not limited to the Americans with disabilities act (ADA) as currently enacted and as may be amended from time to time.
3. Marketing capabilities
• Distribution network and how your system will be able to sell tickets compared to competitors through your sales and distribution channels
• The size of your customer ticketing database
• Ability to support in venue “view from seat” when purchasing tickets.
