RFP Description

The vendor is required to provide property management services to the following das buildings, facilities, parking garages and all grounds made part of such herein referred to as the properties.
- Building management and operational services
a. The contractor shall schedule preventative maintenance, installation, repair, and the provision of necessary supplies and equipment to perform tasks on the properties’ systems, and such system’s components and structures.
• HVAC services and provision of related equipment.
• Locksmith services and provision of related equipment.
• Plumbing services and provision of related equipment.
• Glass replacement services and provision of related equipment.
• Electrical services and provision of related equipment.
• Masonry services and provision of related equipment.
• Carpentry services and provision of related equipment.
• Painting services and provision of related equipment.
• Energy conservation services and provision of related equipment.
• Facility electrical generator services and provision of related equipment.
• Fuel tank inspection, compliance reporting and tracking; and
• Telecommunications management.
- Responsibilities of the property manager:
• The property manager shall be the main building management services coordinator for the client agency.
• The property manager shall supervise all on-site contractor employees and contractor parties.
• The property manager shall be available three hundred sixty-five (365) days per year, twenty (24) hours per day, seven (7) days per week electronically, by cell phone, email and on-site as required by the client agency.
• Property manager shall continually provide up to date emergency contact information with the client agency.
• The property manager shall prepare bid specifications, solicit and analyze bids and award contracts for services required by the client agency for the property
• The property manager shall be available to respond on-site to assist the client agency in coordinating the response to emergencies that arise at the property twenty-four (24) hours per day, seven (7) days per week, and three hundred sixty-five (365) days per year
• The property manager shall meet weekly with the designated client agency representative at the place and time designated by the client agency
• The property manager shall coordinate administrative duties, including but not limited to, financial management reporting and budgets.
• The property manager shall at all times designate and provide in his or her place an individual capable of performing any and all aforementioned duties when the property manager is absent or otherwise not available to perform his/her duties.
• The property manager shall always keep the contact information of such designee current with the client agency.
• The property manager shall be the main services coordinator for a facility parking database, tracking parking changes, shuttle schedules and any additional duties associated with parking policy and/or parking lots between client agency and building occupants if needed.
• The property manager shall be the main administrator, coordinator and provide for set up and preparation for the property’s public conference rooms.
