The vendor is required to provide exterior digital signage services for grants its approval to the facilities renewal plan, aimed at enhancing building systems nearing the conclusion of their life cycles.
- The primary goal is to design and install a digital sign at the front of the schools listed below
- Strategic initiative, the asset management and renewal department diligently work towards fostering an optimal environment for both students and staff.
- Design phase:
a. Site assessment:
• Subsequent to reviewing the exterior digital signage study for elementary schools and secondary schools, conduct a thorough site survey to evaluate the optimal location for the digital sign and positioning for underground trenching.
• Structural and electrical design:
o Provide the design of the supporting foundation structure for the digital sign, ensuring it meets local building codes and standards.
o Develop an electrical plan, considering power requirements and connectivity.
b. Material selection:
o The digital sign and supporting structure that are durable, weather-resistant, and aesthetically pleasing.
- Designated substances:
• The board is responsible for ensuring that every precaution reasonable is made to ensure the protection of all workers operating in board buildings
o Procure an environmental consultant via the project’s cash allowance to complete a designated substance survey report to identify substances in the project’s work area which may be defined as designated substances as per state regulation 490/09.
• Procure an asbestos abatement contractor via a change order process to abate designated substances, ensuring that the work area remains safe and does not become a hazard to building occupants.
• Environmental consultants and abatement contractors are to be selected via a competitive procurement process.
• Environmental consultants and abatement contractors are to be procured per the attached asbestos supporting documentation
- Permitting:
• Obtain all necessary permits for the installation, ensuring compliance with local building codes and regulations.
- Installation phase:
a. Site preparation:
• Clear the designated area for installation, ensuring a safe and accessible work environment.
• Coordinate and include in base bid any necessary utility locates to avoid interference during trenching.
• Remove any shrubs, tree stumps and other greenery that will need to be removed for proper installation of the sign.
b. Trenching and electrical work:
• Excavate and trench for the installation of power and data cables from the digital sign to the interior electrical room and main office
• Install conduits and junction boxes as needed.
• Connect to the school's electrical system, ensuring proper grounding and adherence to electrical codes.
c. Digital sign supply and installation:
• Supply digital sign and all associated accessories.
• Assemble and install the supporting structure for the digital sign.
• Mount and secure the digital sign according to the approved design.
• Connect and test all electronic components for proper functionality.
• Repair and make good area around new sign (including adding sod if required)
d. Information, communication and technology supply and installation:
• Coordinate with the board ICT department to identify, install, program and test the software to operate the digital sign.
• This software must be installed at the secretary computer at each site.
- Testing and commissioning:
a. Functionality testing:
• Conduct thorough testing of the digital sign to ensure all components are functioning as intended.
• Test communication between the digital sign and any integrated systems.
b. Training:
• Provide training to school staff on how to operate and update content on the digital sign.
