RFP Description

The Vendor is required to provide the anticipated growth in our community, we are looking to hire a consultant to help us refocus and rebrand our internal and external communication platform to help agency achieve the DRI/strategic investment plan goals, and better meet the needs of a new generation of volunteers.
- Task 1: public participation and outreach
• The contractor and/or its consultants shall facilitate public outreach methods to ensure transparency of branding initiatives are aligned with the vision and goals established as part of the street DRI.
• Methods will build upon the street DRI to solicit input and feedback from the public regarding opportunities and priorities for downtown revitalization, and focus priorities for the redesign of the agency brands.
• Public outreach should include stakeholder interviews, public workshops, open houses, and any other methods deemed appropriate.
Deliverables: public workshop materials, summaries, and completed feedback to inform brand development and content production.
- Task 2: brand development
• The contractor shall prepare draft branding designs for the following:
• Agency will be rebranded as the community-facing outlet for local information about events, amenities, news, services, and opportunities offered by agency and the village.
• Agency will be rebranded toward communicating with visitors from the region and beyond by showcasing and consolidating regional events and assets, stories, events to support efforts at place making and recreational tourism.
• Deliverables: draft and final branding designs and supporting materials showing process.
- Task 3: website development
• Most critical to the ongoing sustainability of the organization, the contractor and/or its consultants will redesign and overhaul the two websites currently representing both brands respectively.
• The look and feel of both websites will be redesigned based on newly established branding
• The back-end will be overhauled to streamline content upload and develop both websites as comprehensive platforms for events and offerings, as well as internal storage for agency materials.
• These platforms will be optimized to allow volunteer and stakeholders to add content and reduce volunteer efforts in keeping them up-to-date.
• The design of the new websites will reduce or eliminate hosting fees and ongoing maintenance costs to as low as possible.
• Deliverables: draft website design/content, pdfs of promotional materials, and verification of live website links for both websites.
- Task 4: interpretive marketing and promotional videos
• To showcase the ability and utility of the two new overhauled websites, the selected contractor will provide the following:
• Development of a ‘how to’ resource to educate volunteers on how to upload content
• A piece of non-video promotional material focused on attracting residents to street
• A piece of non-video promotional material focused on attracting visitors to street
• 2-5 Informational/interpretive videos ranging in length and depth of content, created to showcase unique, interesting, and authentic aspects of the village with a focus on attracting visitors and residents downtown that can be uploaded to the new websites
• Deliverables: draft and final video production and supporting materials.
- Budget: $135,000 dollars
- Contract Period/Term: 1 year
