The vendor is required to provide audio and video production rental services for special events.
- Include for services:
1. As an event approaches,
• Compositional work begins with the producer.
• Script writing from which graphics and images are produced by the contractors’ graphic artists and saved into a storyboard, then presented to the committee or a select group working on compositional creation.
2. One to two days before an event,
• A rigging crew arrives on site and begins to rig lights and develop a power distribution system that can be used for both lights and equipment.
• Set up the stage (typically, led panels are used, which require a specialized crew to construct, configure, test, and monitor for proper operation).
3. The day before an event,
• Depending on the nature of the event, audio speakers and cables are installed or hung from the ceiling.
• Microphones are also tested; all sources are connected and tested for calibration.
• The contractor’s on-site producer and technical director is responsible for managing the images on the led screens.
• There is also a lighting director whose job is to manage the lights and make sure that they are all functioning correctly and
• An audio director whose job is to manage all audio sources to ensure they are appropriate, correctly balanced, and there is no feedback.
4. After an event is concluded
• The rigging crew returns and begins to disassemble all the equipment,
• The audio director disassembles their equipment
• The lighting director does the same with the assistance of the rigging crew.
