RFP Description

The vendor is required to provide for cemetery management software.
- Interactive and accurate digital mapping:
• Cemetery mapping with tier labels and numbering consistent with the current cemetery layout.
• Include click-to-locate functionality for identifying surrounding available plots near occupied plots.
• Include click-and-drag functionality for identifying graves near specific areas of interest.
-  Public access:
• Includes “walk-to-site” directions accessible via mobile device.
• Accessible from the city’s existing website for public searches of cemetery records.
• The platform includes options to display upcoming and recent burial dates
- Single operational view:
• Centralized view for managing cemetery records, including:
• Deceased records, interment details, plot allocation, ownership records, licenses, interment rights, notes, next-of-kin, and attachable images/documents.
- Managed service:
• Software provided as a service (SaaS) model, with the vendor responsible for: hosting, backups, database administration, incident management, system updates, and other technical services.
- User support/customer service:
• Assign a dedicated project manager responsible for implementation coordination.
• Vendor to ensure csv data exports are available to staff on demand in the system.
• The vendor’s state-based in-house support team provides authorized users with unlimited support via email and phone; all support agents must be fluent in English.
• Proactive support outreach is to be done by vendor support staff regularly.
- Cloud hosting and data residency:
• The vendor must host the solution with a reputable cloud service provider that ensures secure, reliable, and scalable hosting; while AWS is referenced as an example, equivalent providers (e.g., Microsoft azure, google cloud platform) are acceptable.
• All client data must reside within the states.
• The hosting provider must adhere to stringent security protocols and industry standards for data protection and availability.
• The vendor must provide details about the chosen hosting provider, including certifications and compliance with standards such institute and technology) or an equivalent cybersecurity framework.
- Product updates:
• Vendor adheres to industry standards and best practices, providing timely updates as needed.
• Access to the latest version of the software at all times.
• Scalable platform to accommodate additional users, modules, and professional services as the city grows.
