The vendor is required to provide that document shredding services for various central and southern agency locations.
- Include for services:
• Supply the agency with a variety of secure shred bins and cabinets with volume capacities of at least 36-gallons and up to 96-gallons.
1. All shred bins are to be delivered locked and placed in office areas designated by the ago, in locations described below.
• Regularly scheduled pick-up of records for destruction from the secure shred bins.
1. If bins are picked up, they must be replaced with an empty secure shred bin of the same size.
2. Bins may not be emptied until they are transferred to the vendor’s shredding facility.
3. If empty bins are collected, they will not be charged for.
• Off schedule drop-offs or pickups may be requested by the agency
• The vendor may be asked to pick up boxes of records, separate of the secure shred bins.
• Pick-ups must be made by trained, uniformed personnel using trucks equipped with GPS tracking capability.
• Upon completing pickups from locations and prior to destruction, records of the agency must be securely transported, stored, and destroyed within a secure building with twenty-four (24)-hour electronic entry controls and a digital video surveillance system
• Destruction of records of the agency must be completed by means of crosscut shredding, incineration, pulping, and secure deletion within three (3) business days of pickup at vendor’s secure destruction facilities
• Upon completing the destruction and shredding of records of the agency, a certificate of destruction should be provided to the agency documenting the date of pick-up, number of pounds of records, number of boxes, or number of medias destroyed, and the date destruction was completed.
