RFP Description

The vendor is required to provide that Shredding Services to all management, supervision, personnel, materials, and equipment, consumables, facilities, and all other items whether of a temporary or permanent nature, so far as the necessity for providing the same is specified in or reasonably to be inferred.
- Need a combination of consoles, 65- and 96-gallon containers; letter/legal box shredding; and media destruction services; contractor shall:
• Provide a certificate of destruction (cod) for each container
• Pick up materials at various county locations
• All paper documents as unreadable, indecipherable, and otherwise cannot be reconstructed after shredding is completed.
• Destroy securely: paper, cardboard, hard and soft cover books, compact disks, DVDS, cassette tapes, film, and film reels
• Destroy electronic media containing protected health information according to the national institute of standards and technology (NIST) 800-88 guidelines.
• Destroy materials in line with industry standards, HIPAA regulations, and any certifying bodies
• Recycle destroyed material.
• Provide “on call/as needed” pickups and set up a frequency schedule as directed by the county.
• Provide secure lockable containers with keys provided by the contractor.
• Provide all personnel, labor, and equipment.
• Annually background-check all employees and/or 3rd party contractors used by contractor.
• Contractor/supplier or 3rd party contractors used by contractor must carry company id.
• Always use a marked vehicle when servicing county facilities.
• Provide an invoice and report of volume shredded by location monthly, quarterly, and annually.
• Secure documents and media in route to shredding site during transportation
- Representative on a regular basis or as determined necessary by facilities management staff/project manager to review progress and provide necessary guidance to the contractor in solving problems arise.
- Packing, marking & shipment:
• All spares and components provided by the contractor shall be properly wrapped and packaged so that they will be preserved in original and new condition and shall be properly tagged and coded so that identification can be easily done.
- Sparing:
• Provide a list of non-critical and critical spare parts for the supplied system based on experience with said system
• Contractor shall note its best estimate of lead time for the critical spare parts summarized above
spares shall be packaged in accordance with manufacturing requirements.
• County shall store spares in its facilities.
