The Vendor is required to provide of event rental equipment and related services for various university events.
- Rental and/or supply of furniture and equipment for events including but not limited to:
• Tables and chairs – varying configurations, including banquet, cocktail, and conference seating
• Stages – staging platforms, ramps, podiums, and stairs
• Décor and accessories – linens, drapery, signage stands
• Tents and canopies – various sizes with walls and flooring
• Catering equipment – service wares, bars, glass/ dish wares, warming cabinets
- Takedown and removal of rented equipment, as required
- Advice on safety and compliance.
- Providing event rental equipment and associated services to support university events held on or off campus.
- Equipment rental
• Includes the rental of high-quality, clean, and well-maintained event items including but not limited to:
• Tables (harvest, cocktail, round)
• Chairs (folding, banquet, chiavari, barstools)
• Linens and table coverings
• Decorative items and accessories (e.g., centerpieces, signage stands, drapery, greenery)
• Catering equipment – service wares, bars, glass/ dish wares, warming cabinets, cutlery
• Tents and canopies – various sizes
• Stages – staging platforms, ramps, podiums, and stairs
- Delivery, set-up, and take-down of rental equipment
• Delivery and unloading of all rental equipment to the designated event location by required dates and times, as specified by university.
• Coordinate with university event staff to confirm layout plans and exact placement of rented equipment.
• Provide set up services for the rented equipment, as required
• Provide take down services of the rented equipment, as required
• Coordinate with university event staff for shared set up/ take down responsibilities, if applicable.
• Ensure that all equipment is installed safely, and in compliance with safety codes and regulations.
• Set up and take down of rental tents
• Pickup and removal of all rented items following the event's conclusion or within the timeframe specified by university event staff.
• Suppliers must provide their own tools when providing set up/ take down services.
