RFP Description

The vendor is required to provide medical equipment planning for the implementation of the design and construction projects contemplated within the 2025 university general obligation bond implementation program for multiple university campuses.
- Medical equipment inventory
• Review owner’s representative sample of inventory for existing fixed and moveable medical equipment where estimated value exceeds $5,000 for each item
• Evaluate each piece of equipment were scheduled to be relocated for serviceability, disposition expectancy and other appropriate factors (remaining useful life, technological status, etc.) to ensure that all existing reusable equipment is identified and documented in a manner to integrate into subsequent planning documents
• Integrate equipment planning activities with the design and construction schedules
- Medical equipment planning
• Develop a schedule that prioritizes replacements, and new equipment needs based on the hospital’s strategic goals and service requirements
• Note that anticipated project construction milestone dates are to be considered as preliminary.
• Conduct departmental meetings to review equipment requirements, define the new medical equipment needs and discuss equipment alternatives and solutions
• Prepare planning worksheets for each room identified on the approved architectural drawings; each worksheet to identify the fixed, major and minor moveable equipment essential to each room or space
• Prepare initial medical equipment budget which includes, but not limited to:
o Projected acquisition costs for all new fixed/moveable medical equipment
o Selective non-medical equipment  
o Allocations for surgical instruments
o Cost to assemble knocked-down equipment
o Relocation/reinstallation costs associated with equipment currently in use
• Update medical equipment budget on a monthly basis and provide reconciliations/status reports as needed
• Develop individual room data sheets that includes utility data sheets, utility connections, overall notes for architects/engineers, copies of manufacturer’s descriptive literature when available
• Delineate owner furnished/owner installed (of/oi); owner furnished/contractor installed (of/ci), contractor furnished/contractor installed (CF/CI), etc., for all fixed and moveable medical equipment.
• Review architectural documents for coordination and completeness as they relate to medical equipment issues
• Develop storage requirement estimates for medical equipment deliveries
• Provide allocations for surgical instruments based on the size and sophistication of the operating environments
- Medical equipment specification, procurement and installation
• Assist university in determining the options of purchasing or leasing significant imaging equipment such as MRI, Ct, x-ray.
• obtain approval of the final medical equipment requirements from the owner including department Representatives
• Prepare specifications reflecting the user requirements and ensure that equipment that is in compliance with applicable codes, standards and regulating authorities   
• Assist the university legal unit in the review of any contracts associated with purchases of medical equipment
• Provide equipment cut sheets for all medical equipment, including existing equipment to be relocated, to the design team
• Assemble and release specifications and bid documents to university materials management for issuance to prospective bidders
• Review university prepared purchase orders for all new medical equipment and related relocation/installation services
• Attend owner/architect/contractor (OAC) meetings at appropriate times.  
• Coordinate final testing, certification and training of relevant fixed and/or movable medical equipment
• Monitor preparation for installation of headwalls, monitoring and telemetry systems, imaging systems, surgical booms and columns
• Provide warranty and guarantee information to the owner for purchased medical equipment
