RFP Description

The vendor is required to provide s from qualified vendors to provide photography and yearbook services to k-12 campuses.
- The photography portion is specifically for school pictures that are used for the student information system, student id cards, and individual/group yearbook photos.
- The services may include, but are not limited to the following:
• Yearbooks or memory books
• Portrait packages
• Individual student photos (fall and/or spring, senior photos)
• Id badge photos
• Panoramic and group photos
- Vendors are encouraged to respond to one or both categories based on their expertise and capabilities.
- The district’s objective is to develop a list of approved qualified vendors to provide photography, yearbook, and related services for fort.
- Products and services shall include:
• User-friendly online design tools accessible to students and staff.
• Customizable templates and branding options to reflect each school’s unique identity.
• Robust support, including training, customer service, and technical assistance throughout the yearbook creation process.
• High-quality printing and binding with a variety of size, cover, and finish options.
• Flexible ordering and payment solutions for students and families.
• Timely production and delivery schedules to meet critical deadlines.
• Portion of the proceeds benefits the campus and/or organization.
- Respondents should include the following in their proposal:
• Checklist to identify the specific items that respondent’s services address.
• Description of the types of goods and services that the company provides.
• Instructional materials samples for middle/high school yearbook courses, such as lesson examples.
• Alignment to standards
• Estimated cost of goods, including discounts or price breaks.
• Technology requirements if digital

• Photography services that provide high-quality group photography for yearbooks and other campus photography needs.
• Services should include options for group sessions, a variety of background and package selections, and digital or printed delivery formats.
• Photography services must ensure consistent quality, timely delivery, and seamless integration with school yearbook and administrative processes.
• Additionally, providers should offer retake sessions, customization options, and flexible scheduling to meet the needs of each school.
- Yearbook services
• yearbook services that support the creation, design, and production of high-quality yearbooks to commemorate student experiences, achievements, and school events.
• Yearbook services should include customizable templates, tools for layout and design, and options for varying formats and finishes.
• Services should also provide user- friendly platforms for collaboration, support timely production and delivery, and facilitate the integration of photography, text, and school branding elements.

▪ Includes opportunities for reduced pricing based on volume, multi-year contracts, or for students on the free and reduced lunch program.
• Instructional materials (middle/high school yearbook courses):
▪ Provides photography instructional resources aligned to the TEKS (secondary campuses) or the ability modify to align to the TEKS.
▪ Provides training for implementing instructional resources.

• Includes robust support, including training, customer service, and technical assistance.
• Includes notification of software updates in a timely manner and in a variety of formats.
• INCLUDE seamless integration with school administrative systems for yearbook, student ids, and database needs, including the ability to upload photos to agency systems.

• Student information obtained from the district continues to be property of and under the control of the district.
• Vendors may offer schools a lower price but shall not raise prices above those quoted in the contract.
• Work will be done by trained employees, fully experienced in performing the services required. - Group photography services

▪ Ensures print quality issues are resolved promptly and effectively.
• Shipping and freight:
▪ Includes upfront disclosure of shipping and freight costs to the campus/adviser.
▪ Provides goods that ensure on-time delivery, with a credit issued if deadlines are missed due to vendor issues.
▪ Ships within a clearly defined turnaround time after final submissions.
• Personalization:
▪ Provides students and parents with opportunities for personalization, enhancements, or upgrades.
▪ Includes customizable templates and branding options to reflect each school’s unique identity.
▪ Includes a variety of book sizes to meet campus preferences.

▪ Provides direct support to middle and high school yearbook advisers through the scheduling of regular meetings.
▪ Includes user-friendly online design tools accessible to the yearbook adviser and students.
2. The provider guarantees:
• Student information obtained from the district continues to be property of and under the control of the district.
• Vendors may offer schools a lower price but shall not raise prices above those quoted in the contract.
• Work will be done by trained employees, fully experienced in performing the services required. - Contract Period/Term: 1 year
