RFP Description

The vendor is required to provide of a private property manager to provide the corporation with owner’s representative services in the management, maintenance, and operation of two (2) properties located within the city.
- Exercise professional competence in management of the properties at a standard not less than that of similar first-class buildings in the area in which the properties are located,
- Make available to corporation the advice, expertise, and judgment of the organization relating to the management, operation, maintenance, repair and improvement of the properties,
- Manage, maintain, and operate the properties in compliance with:
• All laws, orders, rules and regulations of all federal, state, county, municipal, and other governmental entities having jurisdiction over the properties;
• The provision(s) of any mortgage(s) as the same shall affect the use, occupancy and maintenance of the properties;
• The provision of all insurance policies as the same shall affect the properties;
• All leases, subleases, licenses, concession, tenancy and other agreements affecting the use or occupancy of the properties; and
• All applicable partnership agreements, joint venture agreements, trust agreements and participation agreements.
- Properties including but not limited to, the following:
• Cleaning;
• Security service;
• Landscaping and snow removal;
• Window washing;
• Maintenance of the central plant and all other HVAC equipment;
• A preventive maintenance program for all mechanical, electrical and plumbing systems and equipment;
• Repairs and decorations to the properties;
• Maintenance of the elevators serving the properties;
• Administration and reporting of financial activities related to the properties management;
• Automobile valet service; and
• Construction management support as provided hereunder.
• Metal refinishing
• Pest control
• Labor
• Utility service (including but not limited to gas, electricity, water, sewer, telephone)
- The property manager will be responsible for “all operation expenses and income”.
- To include but not limited to utilities, permits, property taxes, repairs and maintenance, capital improvements.
- Manager shall, at its own expense, prepare all payrolls and maintain comprehensive payroll records for manager’s employees.
- Maintain complete and readily identifiable records and files on all matters pertaining to the properties including any cad drawings and updates to as-built plans and including, without limitation, all revenues and expenditures, service contract and leases.
- Maintain complete books, records and accounts that accurately reflect all revenues earned, funds received, expenses incurred, and disbursements made; and provide monthly and year-end financial statements to corporation.
- Maintain an employee on-site during normal business hours and have an employee available on a 24 hour, 7 day a week basis to respond to emergencies throughout the term of the contract.
- Provide a staffing chart, identifying job descriptions, full-time equivalents (FTES) administrative responsibilities, location of staff person, etc.
- Provide brokerage services for the leasing of space within the properties.
- The manager shall submit and identify any conflicts with regard to the management of any other buildings.
- Provide any marketing, graphic design, or other services needed for the properties.
- Provide a plan, written schedule and coordinate events for public room rentals in the properties.
- Manage and oversee capital improvements and tenant build-out improvements on the properties.
- Contract Period/Term: 5 years
