The Vendor is required to provide automated pharmacy storage and retrieval system for include:
• Support a large inpatient pharmacy inventory: solutions must be capable of managing inventory for a high-volume, 555-bed hospital environment, including unit-dose, multi-dose, and bulk medications.
• Space and infrastructure: the vendor should share the required square footage, ceiling height and floor loading requirements, power and network needs, and space requirements to be in compliance with regulatory bodies.
• Integration with epic inventory and Pyxis software: full interoperability with the existing epic pharmacy inventory module and Pyxis ES server is required to ensure seamless data exchange and real-time inventory visibility.
• Comprehensive medication storage: the system must provide sufficient capacity and flexibility to house all medications used within the inpatient pharmacy, including large and bulky items that are not suitable for traditional automated storage bins.
• With interoperability of epic willow inventory, if medications can be stored in the system, this will mitigate potential safety and scanning concerns.
• Current box picker holds 1,450 products and 63 products in remote stock.
• End-to-end support: vendors must demonstrate the ability to support all hardware, software, and reporting components of the proposed solution, including installation, configuration, training, and ongoing maintenance.
• Timely technical assistance: vendors must offer timely and responsive support for hardware, software, and reporting issues, including defined service levels for issue resolution.
• Vendors must offer on-site maintenance within 1 hour for hardware issues and within 2 hours for software issues.
• Resolution or plan must be communicated within 24 hours.
• Downtime support: the solution must include robust downtime procedures and support services to ensure continuity of operations during system outages or planned maintenance.
• Usage analytics and reporting: the system should deliver comprehensive analytics and reporting capabilities, including, but not limited to:
o Inventory levels and trends
o Returns and credit reconciliation
o Removal and dispensing activity
o Load, replenishment, and workflow efficiency metrics
• Regulatory compliance: solutions must comply with all applicable standards, INCLUDING hipaa, joint commission requirements, DSCSA, and relevant board of pharmacy regulations.
• Financial considerations: would need to determine the capital cost range, ongoing maintenance or support costs, licensing fees if applicable, and expected ROI and labor savings.
• Implementation and change management: vendors should share typical implementation timeline, go-live support model, staff training approach, and lessons learned from similar installation at a similar sized hospital.
