- Software capabilities that may include:
- Document Library and Repository: A centralized, structured library or repository for organizing and accessing work practice documents, including the ability to maintain links or references to documents that may reside in other approved systems rather than requiring all content to be physically stored within the solution.
- Document Governance and Lifecycle Management: Capabilities for document ownership, status, review cycles, approvals, effective dates, expiration or supersession, archival, audit history, and other controls necessary to establish and maintain uthoritative source for work practice documents.
- Version Control: Version history and revision tracking, including identification of the current approved version, prior or superseded versions, effective dates, document owners, revision information, and, where available, comparison or change-history functionality.
- Link Library and Relationship Management: The ability to create and maintain governed links between related documents and resources, including relationships among policies, procedures, standards, forms, regulatory requirements, reference materials, and other work practice content. The Department is particularly interested in solutions capable of identifying and managing links when source documents are revised, relocated, or superseded.
- External System Linking and Integration: The ability to link to, reference, index, or integrate with documents and content maintained in external enterprise systems, repositories, websites, or other approved sources. Please describe available APIs, connectors, integration methods, and approaches for maintaining persistent or durable links to externally managed content.
- Search and AI-Enabled Discovery: Enterprise search capabilities, including metadata, full-text, sematic, and/or natural language search. Of particular interest are embedded AI capabilities that allow users to ask questions across approved work practice documents and receive relevant results or responses that are grounded in authoritative source documents and provide citations or direct links back to the applicable source material.
