The vendor is required to provide material including but not limited to ballot translation guides, voter information guides, voter education documents, and brochures/flyers to be translated into the following languages: Chinese (traditional), Hindi, Hmong, Japanese, Korean, Laotian, Mien, Punjabi, Spanish, Tagalog, Telugu, Urdu, and Vietnamese.
- Data formatting services
• According to election specific timelines containing mandated deadlines, agency will provide English source documents in electronic format for ballot pages, candidate statements, measure text, optional pages, voter-file data, and/or other related documents.
• Electronic files may be provided in various data formats and/or programs, for example: html, asci,
CSV, doc, pdf, txt, xlsx, zip, InDesign, Photoshop, word, excel, illustrator, etc. the translation vendor must fulfill the following services:
• Translate data into the required languages
• Provide translated data in the same document format and file type using the source layout format provided by agency.
• Conduct the quality assurance process by proofreading data and content on all translated documents for accuracy and correctness, and layout and format (margins, letter case, font size/style, number format, etc.) of the headers and body to ensure they reflect those of the English original.
- Translations of the ballot measures, ballot instructions, and candidate statements shall be provided by a person who is one of the following:
• A certified and registered interpreter on the judicial council master list
• An interpreter categorized as "certified" or "professionally qualified" by the administrative the state’s courts
• From an institution accredited by a regional or national accrediting agency recognized by the states secretary of education
• A current voting member in good standing of the American translators association
• A current member in good standing of the American association of language specialists.
- Provide a Glossary with English terms/phrases and its translated counterparts in the 13 languages.
