The vendor is required to provide operational needs to purchase written word translation services to translate a variety of document types to serve their clients with limited English proficiency (LEP), as detailed in the below defined categories.
- Require the option for translation services performed via machine translation with human review and non-machine translations performed by humans only.
- Auto generated text: auto generated text is a system supported language text block translation.
- The system must generate text blocks that have specific font and formatting requirements, as well as abide by instructions to leave certain text in English.
- These documents can cover many different topics, including but not limited to technical, legal, educational, medical, economic, and other.
- Quality service under this category requires knowledge of terminology specific to the subject matter in the documents requiring translation.
- Fill-in translation:
• The majority of fill-in translation requests are 75 words or fewer.
• Translated fill-in information shall be type written.
• Exceptions to this requirement will be made on a case-by-case basis and shall be authorized by the requesting office.
• It is estimated that 75% of client specific translation requests will be for fill-ins.
- Translations for emergency and urgent situations:
• This category is for translation of emergency communications that will be provided to the general public when public health and safety is at risk or potentially at risk, or there is an urgent need to respond in writing to the LEP client community.
• Bidders who agree to provide translation service under this category shall do so on an “urgent” basis defined as within a four-hour window on a 24/7 basis.
• Purchaser will provide notice at the time of request whether translation services under this category will be required on a one-time basis, or an ongoing basis over a multiple-day period.
