The vendor required to provide written document translation, in-person, over-the-phone and video remote translation and interpretation and communication access real-time translation (cart) services in a variety of languages and american sign language.
- Online platform
• Provide a secure, accessible online platform for intake, estimation and scheduling of requests, as well as submission and delivery of written documents when applicable.
- Requirement:
1. Document (written) translation services
• All written translations must be provided by native speakers and speakers who are fluent in the particular language, and translators must be trained in educational vocabulary.
• The use of automated translation tools or artificial intelligence (ai) translation is not acceptable.
• Documents will be provided to the vendor in an electronic form and, whenever possible, in an editable format, along with a specification of the desired language(s).
• Provide a written price quote by no later than the following business day, unless otherwise agreed, indicating the cost per total word count and any added fees for rush jobs and desktop publishing requested by the submitting entity, in accordance with the contract fee schedule.
2. Over-the-phone, in-person and video remote interpretation and translation services
• All over-the-phone, in-person and video remote interpretation services must be provided by native speakers and speakers who are fluent in the particular language, and interpreters and translators must be trained in educational vocabulary.
• Interpretation services may require consecutive or simultaneous interpreting depending on the nature of the event or meeting.
• Proposer must describe their capacity for, or any limitations in, accommodating requests of either type, as indicated on the cost proposal form.
• Interpretation services may be requested up to the same day that the services are required.
• The requesting entity will provide the complete details of the event or meeting including date, start time, approximate end time, and description of the upcoming dialogue.
3. Cart services (communication access real-time translation)
• All cart services (also known as real-time captioning) must be provided by professionally trained stenographers.
• Provide all stenography hardware and software for projection onto a large screen or streaming to a laptop or mobile device.
• Representative will arrive at least thirty (30) minutes before the start time of a meeting and event to allow for technical set-up in collaboration with the av team onsite.
• Cart services may be requested up to five (5) business days before the day on which the services are required.
• Apply a cancellation fee to assignments if the requesting entity cancels within 24 hours of the scheduled event.

• Translation and interpretation services for an extensive list of languages, which must include Spanish and american sign language.
• The following languages are priority languages.
• The number of interpreters which it has currently available to provide services in these specific languages:
o Spanish
o American sign language
o Mandingo
o Malayalam
o Chuukese
o French
o Japanese
o Korean
o Burmese
o Portuguese
o Greek
o Pashto
o Urdu.
