RFP Description

The Vendor is required to provide translating services for non-English speaking families to support the sharing of information and communication with schools and the district office.
- Requirement:
•    The translator may be asked to translate documents from English to Spanish as well as Spanish to English. 
•    The translator may be asked to translate a variety of documents; such as newsletters, meeting summaries, school notes, legal notices, sp. ed. reports, and district-wide documents among other translating assignments. 
•    The translator may be asked to translate document in multiple document creation and editing platforms, including software such as Microsoft word, excel, power point, and publisher as well as platforms like Canva, google sheets, and other commonly used document and design tools. 
•    The translator may be asked to translate documents ranging in length (starting at a couple sentences and paragraphs and go up to multiple pages). 
•    The translator will be asked to attend the mandatory trainings hosted by county to learn about processes and procedures as well as stay informed about county topics of interest. 
•    County often has rush translations in which a 24-hour turnaround is expected. 
•    The translator shall be able to commit to and honor these requests.
•    The translator shall abide by the translator guidelines as outlined in the annual interpreter and translator training provided by county
•    The translator shall abide by the translator techniques as outlined in the annual interpreter and translator training provided by county (thorough knowledge of both the source and the target language, at-home understanding of both languages and cultures, develop research skills and be able to acquire reference sources, and cannot be a stranger to hardware, software, fax, modem, internet, email and the latest developments in all those media). 
•    The translator shall perform all services in accordance with the translator best practices, guidelines, and expectations established through the mandatory annual interpreter and translator training provided by county. 
•    All translation services shall adhere to the professional standards, ethical guidelines, and best practices recognized by the American translators association (ATA). 
•    The translator agrees to maintain familiarity with these requirements and to apply them consistently in the delivery of contracted translation services. 
•    The translator shall not discriminate on the basis of gender, disability, race, color, national origin, age, socio-economic or educational status or religious, political or sexual orientation. 
•    The translator shall disclose any real or perceived conflict of interest which would affect their objectivity in the delivery of services. 
•    Providing translation services for family members or friends may violate the individual's right to confidentiality, or constitute a conflict of interest. 
•    The translator shall demonstrate professionalism and personal integrity such if he feels they have translated inaccurately or incompletely, then he shall make this known and provide a correct translation as soon as possible. 
•    The translator shall demonstrate professional manner and personal integrity when addressing any questions or concerns. 
•    In the event that the translator is not able to ethically perform a given assignment and situation, the translator shall refuse or withdraw from the assignment without threat or retaliation. 
•    The translator shall maintain strict confidentiality of all materials, records and information received or accessed in the course of performing translation services under this agreement. 
•    All documents, communications, and data associated with assignments are considered confidential and shall not be disclosed, reproduced, or distributed to any unauthorized individual or entity. 
•    The translator must comply with all applicable federal and state privacy laws and regulations, including the family educational rights and privacy act (FERPA), and shall take all necessary measures to protect the confidentiality of student education records and personally identifiable information contained within the materials provided. 
•    Translator services shall be used on an as needed basis. 
•    Agency does not guarantee any specific amount of translation documents to be assigned during the duration of the contract.
