The Vendor is required to provide for translation services for agency documents, materials, and other various forms of media.
- Translators and/or interpreters must be able to translate and interpret English to the following languages without errors: Spanish, Chinese (Traditional), Hindi, Hmong, Japanese, Khmer, Korean, Tagalog, Thai, Russian, and Vietnamese.
- Each translator and interpreter must have one of the following current certifications:
• A certified registered interpreter on the council mater list,
• An interpreter categorized as “certified” or “professionally qualified” by the administrative office of the country courts,
• From an institution accredited by a regional or national accrediting agency recognized by the country secretary of education,
• From an institution accredited by the western association of schools and colleges,
• A current voting member in good standing of the American translators association, or
• A current member in good standing of the association of language specialists.
• The Vietnamese translators and proofers may be certified through the society of translators and interpreters of state. Certifications should clearly state which language pair and direction the translator, and the proofreader, are certified in (e.g., English>Tagalog).
- Written Translation
• Election materials and related documents (e.g., ballot designations, foreign language messages, billboards, slogans, guides, posters, scripts, signs, forms, notices, videos, etc.)
• Vote materials and related documents
• Outreach materials such as agency brochures, program specific brochures, etc.
• Agency forms or documents such as voter registration cards, program specific applications, etc.
• agency webpage text translation
• Scripts for Public Service Announcements, training videos, etc.
• Label preparation
• Cross-check of translations performed by other parties, as needed
• Agency correspondence, communications, or letters
• Safe at Home (SAH) application form
• Safe at Home application form addendums and supplemental documents
• Additional forms such as acknowledgement form, change of address form, renewal forms, withdrawal form, etc.
• Fact sheets and handouts for participants
• Participant Guide
• Confidential Name Change Packet
• Correspondence letters such as pre-termination letters, termination letters, etc.
• SAH outreach brochure(s)
- All translations must follow exactly, if not as closely as possible, to the telephonic data provided, as agreed upon with the agency, free of omissions or errors, and must be provided to agency in the specified or agreed upon format and within a 24-hour turnaround time from the time of execution of this contract.
- Translation services provided under this agreement shall be for the following standard languages:
• Chinese (Traditional)
• Hindi
• Hmong
• Japanese
• Khmer
• Korean
• Russian
• Spanish
• Tagalog
• Thai
• Vietnamese
• Other minority languages as requested
- Must be reachable and responsive twenty-four (24) hours per day, seven (7) days per week, including holidays, as needed for the translation services requested.
