Simultaneous Translation and Audio-Visual services

The Vendor is required to provide professional interpretation and audio-visual (AV) services to support clear and effective communication during virtual meetings involving internal staff and external stakeholders.
- The objective of this requirement is to ensure that all participants, including those joining remotely, can fully engage and participate in their preferred official language.
- These meetings rely on online platforms that support effective communication and AV delivery in order to enable meaningful participation.
- These services facilitate equitable access to information and clear communication among participants and stakeholders.
- Work includes the provision of spoken English–French and French–English interpretation services delivered in a virtual meeting environment.
- Host meetings on Zoom and manage all associated AV operations;
- Services may be required for a range of virtual activities, including but not limited to meetings, briefings, presentations, workshops, and consultations involving internal and external participants.
- Provide a qualified technician for pre-meeting checks and live technical support, confirming that interpreter access link, language channels, AV pathways, and other required platform configurations are operational, for the delivery of simultaneous interpretation for the duration of each meeting;
- Deliver simultaneous interpretation using Zoom’s language channels;
- Provide qualified interpreters who must log in prior to each virtual meeting to complete pre-meeting set-up and testing in order to ensure simultaneous interpretation services and Zoom configurations are ready for delivery;
- Must maintain documented quality control practices appropriate for institutional or governmental simultaneous interpretation services;
- Must be available to deliver services during meetings scheduled in the Atlantic Standard Time (AST) and Atlantic Daylight Time (ADT) zones.
- Within forty-eight (48) hours following the conclusion of the meeting, the Contractor will provide a complete recording of the virtual session in its original language (no translation of the proceedings will be required.)
