The vendor required to provide convocation photography services (referred to as services) for the spring 2026, spring 2027 and spring 2028 convocations.
- Responsibilities
1. Marketing
• The university designates to identify dates and locations for portrait photo sessions, details for graduand communications (website, poster etc.), and ensure their registration systems are live with accurate information by agreed to timelines.
2. Inquiries
• The contractor will be available for inquiries from graduands in multiple platforms (i.e., phone, email, and website).
• The contractor will respond to these inquiries within less than five (5)-days.
3. Booking system
• Provide a safe and secure booking system for portrait photo sessions that meets the university’s privacy and data security standards.
4. Ecommerce sales
• Within a minimum number of days agreed upon by the parties (see schedule v) of photography the photographs are to be uploaded to the contractor’s safe and secure ecommerce system for viewing by the graduates.
• Provide graduated with a unique id and password to view and purchase only their own photos.
• The contractor will offer a range, including price and quality, of print and digital photography packages for sale.
5. Equipment and staffing
• Provide and be responsible for the security and storage of all photographic equipment, including necessary lighting instruments.
• Provision of gowns for photo portrait sessions is also required.
• Provide enough excellent, qualified photographers for services for the portrait photo session(s) and for convocation day.
• These photographers must have the ability to:
o Work well under pressure and produce high quality content with limited time and with venue constraints; and
o Interact with graduating students, clients, and university staff in a positive and collegial way, including responsive pre-event and post-event communications.
