The Vendor is required to provide comprehensive support from seasoned experiential marketing agencies to collaborate with our internal team.
- Communications and marketing (CCM) team leads all marketing functions to support agency in acquiring and growing our client base, along with strategically positioning our reputation and brand in the marketplace.
1. Experience design and creation:
• Conceptualization and creative development of unique, brand-aligned experiential activations that deliver on defined marketing and business objectives.
• Development of detailed blueprints, schematics, and production plans for all elements of the experience, ensuring accessibility and sustainability are considered.
• An ability to identify, set up and measure relevant KPI’s.
• Sourcing, procurement, and fabrication of high-quality experiential assets and materials.
• An ability to work with cross functional enterprise teams as needed.
• A strong desire to understand and represent attendee motivations and desires in order to ensure our experiences will resonate in meaningful ways.
2. Onsite execution and management:
• Flawless and reliable onsite setup, management, and tear-down of activations at various indoor and outdoor venues.
• Coordination with venue management, event organizers, and other third-party vendors.
• Ensuring strict adherence to all safety protocols and regulatory requirements.
3. Brand ambassador program management:
• Proactive recruitment of professional, engaging, and enthusiastic brand ambassadors aligned with agency brand values.
• Comprehensive training and briefing sessions for all onsite staff on brand messaging, activation objectives, and operational procedures.
• Efficient onsite management, scheduling, and supervision of the brand ambassador team throughout each event.
4. Logistics and asset management:
• Efficient and secure transport of all experiential materials, equipment, and assets to and from activation sites across the specified geographic areas.
• Professional, climate-controlled, and secure storage of all proprietary experiential materials and assets throughout the year when not in use.
• Inventory management, maintenance, and repair of all stored assets to ensure they remain in excellent, ready-to-deploy condition.
• Understanding and adherence to brand standards and an ability to create branded assets as required.
• Post-event reporting that ties activations back to strategic objectives and target audiences.
5. Strategic support
• Share comprehensive points of view and perspectives on innovation or effective strategies in the experiential marketing space on a continuous basis.
• Gather and provide analysis and insights as requested by agency for audiences.
6. Connection (if applicable)
• We value a proponent's ability to facilitate connections between agency and partners that share similar values or mindsets.
• This is not a mandatory requirement, but establishing such relationships could significantly enhance the scale and opportunity of our experiential work.
