The Vendor is required to provide event planning and event management services to support the planning, coordination, and delivery of investor-facing activities that advanced corporation mandate to attract high-value, high-impact agency.
- Event management services:
1. Event strategy and planning:
• Collaborate with corporation to define the goals and objectives of the event and align planning activities with overall program outcomes.
• Drafting a preliminary event concept, including themes and audience engagement strategies.
• Work in collaboration with the corporation team to define the guest journey and overall event experience.
• Develop detailed production schedules and activation plans for each event component.
• Identify potential operational or reputational risks and develop contingency plans to mitigate these risks.
• Provide strategic guidance and recommendations related to event design, programming, and guest engagement.
2. Project management:
• Develop and manage the event critical path and project timelines, identifying responsibilities for both the contractor and corporation team.
• Facilitate planning meetings with agency, venues, vendors, and suppliers throughout the planning process.
• Prepare meeting agendas, document meeting minutes, and provide summaries of action items.
• Maintain structured project management processes to ensure alignment across all stakeholders.
• Clearly outline on-site roles and responsibilities, including coordination with agency volunteers and event staff.
• Coordinate development of event collateral such as programs, invitations, signage, and presentation materials for approval by corporation.
3. Communication and coordination:
• Serve as the primary liaison between corporation and venues, suppliers, and vendors for event delivery.
• Lead regular project status meetings to update the planning team on progress, risks, and next steps.
• Maintain consistent communication with corporation team to ensure alignment on event planning and execution.
• Provide guidance and recommendations related to registration processes and guest communications.
• Support corporation in organizing formal programming, including coordination of speakers, panels, and presentations.
4. Budget and financial management:
• Develop and maintain a comprehensive event budget outlining projected and actual costs across all event components, including venue, logistics, production, catering, and décor.
• Work within the approved budget and establish detailed expense estimates for event elements.
• Identify financial risks or potential cost exposures and recommend mitigation strategies.
• Negotiate pricing and manage financial agreements with vendors and suppliers.
• Track expenses throughout the planning process and review any potential cost overages with corporation prior to incurring.
5. Vendor and venue managements:
• Identify and coordinate vendors and suppliers required for event delivery, including venues, catering, décor, activations, technical production, and security services.
• Manage relationships with venues and serve as the primary liaison between venue staff, vendors, partners, and suppliers.
• Secure vendor contracts detailing service expectations, timelines, and deliverables.
• Confirm logistics, service orders, and operational requirements with venues and vendors.
• Secure room blocks or accommodation arrangements when required and identify associated financial risks.
• Coordinate necessary permitting, compliance requirements, and health and safety considerations when applicable.
6. Guest experience and logistics:
• Conduct site visits and venue assessments to ensure operational readiness and alignment with event objectives.
• Coordinate event logistics including transportation arrangements, parking, guest arrival flow, and accessibility considerations.
• Coordinate guest registration processes in collaboration with agency.
• Provide recommendations on guest experience elements, including hospitality, materials, and welcome packages when required.
• Coordinate seating arrangements, program flow, and event logistics to support a seamless guest experience.
7. On-site event execution:
• Manage on-site event operations and act as the primary operational lead during event execution.
• Oversee the implementation of the event run-of-show and technical script.
• Coordinate vendor setup, event production elements, and program transitions.
• Address operational issues or vendor coordination challenges in real time.
• Provide support for guest registration, arrival management, and attendee inquiries.
• Remain on-site until all guests have departed and coordinate event teardown where required.
8. Post-event reporting and evaluation:
• Support the development and distribution of post-event attendee surveys in collaboration with agency.
• Provide a post-event report summarizing outcomes, guest feedback, and operational insights.
• Identify opportunities for improvement and recommendations for future events.
