The Vendor is required to provide various marketing services for market in country, including:

• Media relations and public relations (MRPR) services
• Event management services
• Strategic brand partnership management

- Marketing and digital services
1. Social media platforms management
• Add, modify and delete content from agency social media platforms including, but not limited agency YouTube channel, Instagram, Facebook (fb) page, and X (Twitter) account.
• Assist with any social media platform related issues.
• Assist with the development of social media strategies and tactics including an in-depth understanding of social insights.
• Provide AI and geo analysis and optimization when required.
• Translate, research, write, and edit content in English, French and Japanese for agency social media platforms
2. Content planning, creation and amplification.
• Coordinate and develop a content plan with feedback from agency, to support agency marketing strategy and priorities.
• Cultivate and create content relevant to agency target audience in japan including searching for multimedia assets to create content as necessary.
• Plan and execute social media campaigns with influencers and bloggers as directed by agency.
• Conduct content research and maintain a content system to facilitate efficient social production and delivery, and report findings to agency.
• Review and translate document, localization of document content, and platform updates as required.
3. Country fan community management
• Research and recommend third party communities whom agency can potentially collaborate with for marketing or advocacy activities.
• Maintain communications with these groups to cultivate and nurture good relationships and partnerships.
4. Reporting
• Review the results from agency social media platforms’ KPIs.
• Provide recommendations on optimization and continuous improvement for agency social media platforms.
- Production services
• Online content development, repurposing, production, and uploading.
• The content could include, but is not limited to:
o “Country, naturally.” Content
o Videos
• Website content management including, but not limited to: negotiating and managing usage rights and licenses.
• Online campaign development, organization and post-campaign reporting.
• Creation of any digital tools required for various marketing activities such as creative banners, etc.
• Research, copywriting and editing services for agency promotional materials, website content and other documents, as required.
• Translation of content in English, French and Japanese.
• Build and design presentation materials aligning with the agency brand format and requirements.
• Any other necessary production of promotional collateral to carry out mandated marketing activities for agency.
- Media relation public relation services
1. Media monitoring
• Monitor and compile daily coverage of media activities related to agency, agency provincial partners and other designated travel destinations.
• The media to be monitored includes, but is not limited to:
o Television: major networks and broadcast satellite channels.
o Newspapers: nationwide daily, trade, sports and local papers.
o Magazines: travel, women’s, men’s, lifestyle, gourmet, sports and nature.
o Web based: travel trade websites (domestic only) and blogs (influencers only).
o Major portals: Yahoo!, excite, goo, msn and Infoseek.
o Social media: Facebook, x (twitter), Instagram, line and YouTube
o Podcasts.
2. Media relations and public relations support
• Crisis management - the contractor will inform agency immediately of any exceptionally negative media exposure and recommended an appropriate course of action.
• Assist agency with drafting, adapting and distributing press releases.
• Assist agency with drafting, adapting and distributing media newsletters.
• Follow up on any media inquiries and report to agency accordingly.
• Develop and implement media partnership.
• Any other MRPR related services as instructed by agency.
3. Event management services
• Work with agency to determine event requirements.
• Work with agency to ensure all timelines are met.
• Develop all creative activities in accordance with agency brand guidelines.
• Produce detailed proposals for each event, tradeshow or seminar.
• Manage the event budget.
• Coordinate with venue management, food and beverage caterers, contractors, performers and equipment providers.
• Work with agency and designers to create a theme for events and to organize all productions.
• Plan and coordinate entertainment programs.
• Plan floor and room layouts.
• Coordinate with suppliers, handling registration and registrant requests and troubleshooting to ensure that the event runs smoothly.
• Manage event website and secretariat working with agency and other agencies as required.
• Decorate the venues and set-up tradeshow booths.
• Oversee the dismantling and removal of the event goods and clearing of the venue efficiently.
• Provide video editing services to create promotional videos, upon request as required.
• Conduct post-event activities including data entry and analysis and producing reports.
• Communicate with event officials and prepare any required documents for participation.
• Conduct all other related event planning and management as well as follow up activities.
• Digitalize part of or whole events and programs as required.
- Strategic brand partnership management
• Work with agency to determine strategic brand partnership requirements.
• Research and identify potential partners
• Propose, approach and negotiate with the potential partners
• Work with agency to coordinate partnership agreement(s)
• Develop and implement all activities
• Manage the budget for strategic brand activities.
• Produce post-event reports including, not limited to event summary, content, results and learnings
• Communicate with HQ brand partnership team to ensure that all the creatives align with agency brand guideline
• Conduct all other related planning and management as well as follow up activities
- Translation services
• Agency promotional materials, website content, and other documents.
• Translate and write content in a distinctive and consistent style for all agency country communications, representing agency brand voice.
• Languages to be translated include but are not limited to:
o English to Japanese
o Japanese to English
o French to Japanese (the contractor may use sub-contractors for this service if required).
o Japanese to French (the contractor may use sub-contractors for this service if required).
